Overview:
As a Front Desk Associate, you will be the crucial bridge between our esteemed doctors and valued patients. Your responsibilities will include coordinating appointments, managing patient records, and delivering exceptional customer service. Most importantly, you will create a professional, positive first impression for anyone who enters or calls our offices. Your commitment to assisting patients and supporting our medical staff will be essential in ensuring smooth operations and enhancing patient satisfaction.
Key Responsibilities & Essential Functions:
- Patient Liaison: Act as the primary point of contact for patients, addressing inquiries, scheduling appointments, and providing information about services offered.
- Appointment Coordination: Efficiently manage the scheduling of appointments for consultations, examinations, surgeries, and follow-up visits, ensuring optimal patient flow.
- Medical Record Management: Maintain accurate and up-to-date patient records, including personal information, and treatment plans, while adhering to privacy regulations.
- Professional Customer Service: Provide friendly and professional assistance to patients and vendors, addressing their concerns, facilitating communication with medical staff, and ensuring a positive experience. This includes answering calls promptly; greeting patients with a smile upon entering; treating each other internally with respect.
- Administrative Support: Assist with administrative tasks such as managing incoming calls, handling correspondence, and maintaining office supplies to support smooth day-to-day operations. Makes spreadsheets, manages data, and creates documents on computers.
- Data Organization: Organize and manage crucial data related to patient health records, appointments, and billing information with precision and attention to detail.
- Collaboration: Work closely with medical staff to coordinate patient care, communicate important information, and ensure seamless integration of front desk operations with clinical activities.
- Problem Resolution: Address patient inquiries, concerns, and complaints promptly and professionally, striving to resolve issues to the satisfaction of all parties involved.
- Office Maintenance: Keep the front desk area clean, organized, and welcoming, creating a positive first impression for patients and visitors. Inspect leased office supplies as well as other electrical equipment for optimal use. Perform opening and closing office procedures as scheduled.
- Office Education: Stay informed about office policies, procedures, and updates in the field of optometry. Participate in staff and educational meetings including but not limited to compliance trainings. Assist in training new hires as needed.
- Other Duties as Assigned: Individuals in this role may occasionally be requested to extend support and undertake tasks, as necessary, across different departments within the office, aid doctors, or collaborate with colleagues. We anticipate that all team members will embrace these opportunities with enthusiasm, demonstrating a proactive approach and a readiness to assist whenever required.
Job Requirements:
- High School degree or GED preferred.
- Previous experience working in an Eye Doctor office or similar healthcare setting.
- Familiarity with medical terminology and procedures.
- Dependable transportation with the ability to work out of different offices.
- Proficient in using phone systems and computer applications.
Job Types: Full-time, Part-time
Pay: $16.00 - $17.00 per hour
Expected hours: 20 – 40 per week
