This newly created role, driven by the firm’s growth, involves supporting C-suite executives while also serving as a backup to the Office Manager and EA to the CEO.
The ideal candidate is a team player with a hands-on attitude, willing to take on tasks ranging from routine office needs, like refilling the printer, to high-level executive support.
Responsibilities :
- Oversee calendar management, scheduling, and conflict resolution for senior executives.
- Arrange travel, including flights, accommodations, and itineraries.
- Prepare and organize materials for meetings, conferences, and presentations.
- Handle expense reporting, ensuring compliance with company policies and regulations.
- Assist in document preparation and routing for internal and external stakeholders.
- Support project coordination and deadline tracking.
- Manage vendor relationships, maintain contract databases, and oversee due diligence.
- Greet visitors and facilitate in-person meetings.
Ideal Candidate :
6–15 years of Executive Assistant experience within a financial services firm.
In-Office Policy :
Full-time, five days per week in the office.
