We're seeking a friendly and efficient Office Assistant 2 - Front Desk - KSA Spanish to join our team at Multnomah County, a leading Federally Qualified Health Center (FQHC) serving our community. As the first point of contact for our patients and the public, you'll play a crucial role in creating a positive and welcoming experience.
FQHCs: Federally Qualified Health Centers are community-based health centers that provide comprehensive primary care and support services to underserved populations. They play a vital role in improving access to healthcare and promoting health equity.
What You'll Do:
- Be the Face of Our Organization: Greet and check in patients with a warm and professional demeanor, ensuring a smooth and efficient process.
- Master the Art of Scheduling: Manage appointments, ensuring optimal flow and minimizing wait times.
- Become a Communication Pro: Answer and direct phone calls, providing accurate information and exceptional service.
- Navigate the Details: Accurately verify insurance information and patient demographics, maintaining confidentiality and accuracy.
- Provide Stellar Customer Service: Address patient inquiries and concerns with empathy and professionalism.
Knowledge, Skills and Abilities (KSA): Bilingual in Spanish and English (language testing may be required)
As the Office Assistant 2, your duties will include:
- Customer Service: First point of contact for clients. Greets clients and visitors at the front desk. Answers incoming calls and routes appropriately. Provides information regarding the clinic and other resources and refers to other information services. Acts as a liaison with treatment staff and providers relaying information about patient needs such as walk ins, prescription pick ups.
- Client Services: Checks patients in, obtains and/or verifies demographic information and insurance coverage utilizing appropriate databases and updates registration and accounts. Enter correct information into Epic Practice Management. Also alerts staff if there is a problem with insurance. Works on resolving insurance issues as they arise and also notifies supervisors as needed.
- Patient Document Management: Receives and reviews and distributes client documents such as medical records from other clinics, faxes requesting prescriptions, requests for medical records. Routes documents to medical staff for review and then when documents are returned prepares documents for scanning/indexing by attaching client medical record number.
- Resource Management and Meeting Support: Troubleshoots equipment issues and reports necessary repairs as needed to the supervisor. Follows downtime priority and project list, following through on assigned tasks, such as putting together information on PC numbers, reviewing Epic schedules for tracking patient data such as sex or age.
Minimum Qualifications: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
- Education/Training: Equivalent to the completion of the twelfth grade; and
- Experience: Two (2) years of general office support or customer service experience dealing directly with the public.
- This position requires advanced knowledge, skill, and ability in Spanish (KSA). Demonstrates the ability to communicate effectively in the Spanish language and to understand and adapt to diverse Spanish-speaking cultures.
