Credentials: Must hold a high school diploma or GED.
Other Qualifications: This is a skilled full-time position under the administration of the School Principal. Additional training and work under the Attendance Personnel at the district office is required. The employee will work cooperatively with adults. The employee is required to perform essential functions involved in maintaining records of student attendance as well as maintaining student cumulative files. The attendance clerk will work on the school calendar and/or a flexible schedule if called upon to do so. The employee is subject to a post offer physical examination with a written statement from the physician showing a satisfactory health record and stating the employee is free of any contagions or communicable disease in such form as might endanger the health of school children, as well as results of a TB skin test. All employees hired after January 1, 2000 are required (post offer and prior to commencement of the employment duties) to supply fingerprint samples which are submitted to a criminal history records check conducted by the Tennessee Bureau of Investigation. All hiring decisions are contingent upon satisfactory criminal background check results.
Physical Demands: This person must be physically active and interactive throughout the day, have excellent memory; be emotionally mature and able to handle stress; possess the intellectual, sensory, and motor skills necessary for efficient office management, be flexible and the ability to work in an open, potentially distracting environment. Must have sufficient physical strength and ability to independently and repeatedly lift, move and carry objects weighing 50 pounds (frequently). The employee may be exposed to loud noises, foul odors, and smells generally associated with food.
Essential Job Functions:
- Monitor and assist teachers in submitting daily attendance via the student information system and teacher portal.
- Perform data entry of all students including but not limited to new registration information, transfer student updates, student withdrawals, daily attendance notes, daily tardies, student classifications, student lunch status, student bus information and discipline records.
- Monitor and correct errors in the Educational Information System (EIS).
- Monitor student attendance for excessive absences via the district guidelines. Provide school principal with updates on excessive absences. Complete documentation and forward to Truancy Personnel when necessary.
- Complete the 20 day attendance report and provide to school principal and forward to attendance personnel at the Central Office.
- Work cooperatively with transportation department to maintain accurate bus information on students.
- Maintain student cumulative files. Receive and send student records and monitor for accuracy.
- Assist in planning yearly student registration.
- Must protect confidentiality rights of parents and students.
- Must follow directions.
Staff Relationship: Reports directly to the School Principal.
Terms of Employment: Full-Time Attendance Clerks work a 207 day annual contract if employed after initial 90 days training period. Salary and benefits set by Board. Non-exempt.
