An established contemporary art gallery in Chelsea with a sister gallery in Europe seeks an Executive Assistant to support the Owner and Vice President. The successful candidate will assist the owner in their day-to-day activities, provide administrative support, and serve as a key liaison between the owner, artists overseen by the VP, and other members of staff. The candidate should be a multi-tasker, organized, detail-oriented and able to excel in a fast-paced environment. The gallery provides a supportive and dynamic work environment run by a close-knit team and is looking for someone with 2-4-years of experience in a similar support role. No previous gallery experience is required, but knowledge of the contemporary art world is preferred.
Primary responsibility is to providing general and strategic support to Vice President including:
- Schedule/confirm appointments, and organize VP’s calendar and call list
- Track all mail and email sent to VP and ensure they are replied to
- Make travel arrangements and generate detailed itineraries, confirming appointments while the VP is traveling
- Liaise with artists and clients on behalf of VP as needed
- Draft owner’s correspondence, update and maintain owners contacts
- Assist VP with all sales and post-sales administration, including drafting and tracking offers; making PDFs, preparing sales presentations and sales outreach; sales presentations; arranging viewings; facilitating invoices; tracking outstanding payments, production status, and shipping arrangements; and other tasks as needed
- Liaise with artists in VP’s care including keeping track of inventory, studio visits, art fair deadlines and exhibitions
- Organize and manage events at the gallery including guest lists and RSVP’s
- Research and track all works by gallery artists that are coming up at auction
- Assist with additional administrative work as needed
- Provide back up for owner while traveling as needed
- Compile market or institutional information that can assist in sales
- Research and prepare insurance appraisals for clients
- Any other duties as reasonably required by the VP
Candidates must possess the following qualifications:
- Be extremely detail-oriented and organized
- Strong written and verbal communication and interpersonal skills
- Excellence at meeting deadlines and working under pressure
- Ability to anticipate and meet the needs of the VP
- Be proactive and persistent in seeking out more information or clarification to complete projects in a timely manner
- Demonstrate excellent follow-through
- Demonstrate initiative and ability to “self-manage”
- Be collegial, flexible, calm and poised under pressure
- Strong office computer skills including specific knowledge of Microsoft Office applications including Word, Excel, and PowerPoint required
- Knowledge of Sketch Up and In Design a plus
- Experience with Artlogic essential and Adobe Photoshop preferred
- Fluency in Spanish and/or Portuguese a plus
Salary : $60,000 - $65,000
