Job Description Summary

The Department of Surgery is actively recruiting for an Administrative Coordinator I. Under limited supervision, the position provides administrative support to the Division of Foregut and Metabolic Surgery with primary responsibility for the clinical practice activities in the office.

Job Duties

  • 25% - Responsible for scheduling and coordinating patient surgeries, diagnostic tests and ancillary procedures. Maintain Hosp IQ to optimize OR utilizatio
  • 15% - Provides executive level Administrative support for the Division Chief and division faculty. Works closely with the faculty and represents them when communicating information to faculty, staff and prospective faculty. Coordinates schedules, including scheduling meetings, preparing travel arrangements. Maintains calendars and assembles all appropriate information for upcoming meetings. Updates faculty CV’s as needed in Interfolio and assists with evaluations. Briefs physicians prior to meetings. Serves as back-up to the other Administrative Assistants
  • 15% - Reviews clinics prior to clinic date to ensure that they are scheduled appropriately. Revises clinic schedules as necessary. Handles all office correspondence including completion of FMLA, STD, LTD, cancer policies, loss of income, protection for house/auto payments, supplemental policies, CMN's and orders for patients. Obtains prior authorizations for Rx's.
  • 10% - Proficiency in EPIC including scheduling appointments, creating patient accounts in EPIC and monitoring and working EPIC Inbaskets and reporting.
  • 5% - Sends clinic notes to referring and consulting physicians via in basket or facsimile.
  • 5% - Responsible for the timely scanning of patient records into Scan Web.
  • 5% - Coordinates all administrative requirements of faculty member i.e. track CME credits, assist with applications and licenses, coordinate reimbursements, triage phone calls, sort and respond to mail correspondence.
  • 5% - Responsible for all template change requests; completing PATH forms, communicating will all clinic managers, patient access liaisons, and SchedChanges team. Also responsible for clinic cancellations, addon clinics and clinic holds.
  • 5% - Collaborates with the Bariatric surgery team including working with MBSAQIP.
  • 5% - Assisting in clinic when needed, specifically utilizing CMA skills.
  • 5% - Perform other duties as assigned.

Preferred Knowledge And Skills

The applicant must have demonstrated ability to handle multiple tasks, work independently and prioritize duties of the position. The desired candidate must also possess a thorough knowledge of office procedures and protocols; excellent typing abilities; detailed knowledge of good grammar and spelling; responsibility; diplomacy; logic; verbal expression; tactfulness and confidence. The ideal candidate will have clinical administrative experience and proficiency in medical terminology. Must have thorough knowledge of word processing and advanced computer skills. Experience with EPIC, Outlook, Word and Excel preferred.

Minimum Requirements:

A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.

(Infrequent) Ability to maintain 20/40 vision, corrected, in one eye or with both eyes. (Continuous) Ability to see and recognize objects close at hand. (Continuous) Ability to see and recognize objects at a distance. (Frequent) Ability to match or discriminate between colors. (Frequent) Ability to determine distance/relationship between objects; depth perception. (Continuous) Good peripheral vision capabilities. (Continuous) Ability to maintain hearing acuity, with correction. (Continuous) Ability to hear and/or understand whispered conversations at a distance of 3 feet.
