Muscatine Schools is hiring a Building Secretary for Grant Elementary. Secretaries are scheduled to work full-time (8 hrs/day) and year-round (12 months/year). This position offers an excellent benefits package. Wage is based on the AFSCME Union Wage Table for Muscatine Schools. Starting hourly wage is currently $17.28/hour. Essential functions/duties must be performed on-site.

POSITION TITLE:
Elementary Secretary

EMPLOYEE UNIT: Secretarial/Clerical/Aide/Paraeducator

FUNCTIONAL AREA: Support Staff

REPORTS TO: Building Principal

STATUS: Full-Time, Year Round


Normal Work Day:
Principal will assign schedule based upon student and building needs


OBJECTIVE:
The purpose of this position is to assist the Principal, staff and students by providing clerical and administrative support to the school’s main office.


MAJOR DUTIES:

These duties are not present in every job but are illustrative of the variety and types of duties that a person holding this job title may perform.


  • Works with school’s administrative team under the direction of the Principal on the overall day to day operations of the school.
  • Serves as a liaison for parents, guardians, and the general community with the school’s faculty, staff, and students.
  • Works heavily within various databases including student information systems, finance systems and various other software systems. Answers multi-line phone system.
  • Tracks and updates student records; sends and receives new student records for new and/or transferring students; maintains various confidential records for students and parents or guardians.
  • Assists principal with school budget by entering requisitions and providing follow-up on purchase orders. Collects and makes deposits of money as needed throughout the school year including all credit cards, student fees, etc.
  • Serves as first point of contact with the public by answering phones and greeting visitors, granting access to visitors through secure door, taking messages for students and other staff, directing calls and visitors efficiently and effectively.
  • Signs substitutes in to the building, ensuring they’re directed to the appropriate classroom/location for their assignment.
  • Meets and greets visitors with courtesy and professionalism, assisting with Visitor and Volunteer check in on the Visitor/Volunteer management system.
  • Provides practical nursing skills in the absence of the nurse including but not limited to, taking temperatures, administering ice packs, calling parents of sick or injured students and dispensing (with parental consent) medication in a manner prescribed by health professionals.
  • Completes various administrative tasks for Principal and Teachers, as requested.
  • Arranges busing for field trips, activities, and other school-wide or district-wide events.
  • May be required to assist with discipline problems when/if students are sent to the office by teachers (i.e. send to assistant principal or send to in-school suspension room).
  • Assist with registration services over the summer.
  • Other duties of a similar nature to be assigned as needed.


MINIMUM QUALIFICATIONS:

Qualified candidates will have a High School Diploma or GED. Associate’s Degree or higher is preferred. Prior experience working in an office environment is preferred. Must attend training on and demonstrate proficiency in school databases including Powerschool, Google Suite (docs, sheets, mail, calendar), finance/HR database, Absence Management, Visitor/Volunteer management system and other software used in the building. Must have prior experience completing data entry and word-processing. Bilingual skills are desirable. Certified to dispense medication. Mandatory Reporter certified.

  • Excellent written and oral communication skills; friendly and approachable disposition
  • Must know assigned school boundaries, attendance and transfer policies, and become familiar with court orders applicable to visitation and custody rights.
  • Assist with the coordination of building volunteers.
  • In the absence of Principal, must be capable of assisting and directing staff, students, and visitors
  • Must work well with a team and with a diverse group of people on a daily basis
  • Must maintain confidentiality at all times
  • Ability to work well under pressure
  • Must be capable of learning various District databases
  • Must be capable of organizing multiple tasks and setting priorities
  • Superior interpersonal skills are required while working with a diverse population

The employee must frequently lift and/or move up to 50 pounds 0 to 12 feet and occasionally up to 20 feet, such as curriculum materials, desks, chairs, and boxes. The employee will sometimes push/pull items such as tables and carts. Specific vision abilities required by this job include close vision, color vision and the ability to adjust focus while supervising students and working with computers, written materials, reports, assessment data, etc.

The noise level in the work environment is usually quiet. The position requires the commitment of professional working hours that may require the employee to extend beyond a typical 8:00 a.m. to 4:00 p.m. workday. The employee will frequently work in different areas of the classroom including in/at desks, on or near the floor, standing, in movement while supervising indoor and outdoor activities, etc. The employee will usually work in indoor temperatures but will work outdoors when supervising students outside of the classroom.
