Position Summary
The Advancement Specialist plays a vital role in supporting the Advancement Team by providing administrative, fundraising, membership and communications support to the Chief Advancement Officer and Assistant Director of Advancement. This position has room for growth as the Specialist works closely with the members of the Advancement Team to support all Advancement goals. Key Responsibilities
Development, Membership & Fundraising Support
- Provide administrative support for all fundraising campaigns and donor stewardship efforts;
- Support membership processing and renewal efforts.
- Respond to membership queries.
- Coordinate and execute direct mail appeals and other donor outreach initiatives.
- Research grant opportunities in collaboration with colleagues; write grants as assigned.
- Oversee grant maintenance and reporting requirements for approved applications.
Communications & Marketing Support
- Create social media posts utilizing graphics from the graphics department and post or schedule content across all platforms, with a focus on engaging donors, members, and museum supporters. May occasionally be asked to create basic graphics for posts.
- Monitor social media analytics, generate reports, and provide insights for improvement.
- Capture basic photos and video content of museum activities and special events for marketing purposes.
- Distribute donor communications, including emails, newsletters, and thank-you letters.
- Contribute to the content creation of the museum newsletter and work with newsletter templates and distribution apps, such as Constant Contact
- Create internal/external communications for special occurrences such as closures, private events, and other situations that may arise, including all staff emails, social media posts, and talking points for front desk staff.
Research & Administrative Support
- Conduct research on best practices in museum administration, fundraising, and institutional efficiency to support the museum’s growth and development.
- Manage general correspondence for the Advancement Team, including donor inquiries and sponsorship requests.
- Assist with scheduling meetings, coordinating calendars, and preparing meeting materials.
- Perform data analysis and generate reports related to fundraising, memberships, and events.
- Handle confidential donor information with discretion and professionalism.
- Support additional museum-wide initiatives as assigned.
- Coordinate schedules for Advancement Team meetings, donor visits, and board meetings.
Records & Reports Support
- Act as a backup to the Database and Technology Specialist by knowing how to process and acknowledge all donations, pledges, and memberships in a timely manner.
- Assist in compiling donor and fundraising reports, tracking annual fund participation and campaign performance.
- Maintain data integrity in our CRM by entering and updating donor records.
Event Coordination
- Collaborate with the CEO and Advancement team on key VIP and fundraising events as assigned.
- Provide necessary support and attention to detail for special events according to schematics and checklists (fundraisers, member events, and donor receptions).
Required Qualifications & Skills
- Bachelor's degree required.
- Strong written and verbal communication skills.
- Highly organized and detail-oriented, with the ability to manage multiple projects and deadlines.
- Proficiency in Microsoft Office Suite, including Excel and Word mail merge applications.
- Ability to work both independently and collaboratively within a team.
- Willingness to work occasional evenings and weekends for events.
- High level of discretion, confidentiality, and integrity.
- Must be comfortable making and receiving phone calls and demonstrate strong verbal communication skills during phone conversations.
- Ability to learn our Altru database system within 90 days.
Desired Qualifications & Skills
- Bachelor’s degree and one year experience preferred
- Relevant internship, volunteer experience, or work in an administrative or fundraising role may count as experience.
- Experience with donor database systems.
- Familiarity with social media platforms, analytics, and content scheduling.
- Experience with graphic design software (Adobe Creative Suite, Canva) is a plus.
- Knowledge of grant compliance and reporting.
Working Conditions & Physical Demands
- Ability to operate computers and office equipment efficiently.
- Frequent walking, speaking, and listening; occasional bending, reaching, kneeling, and squatting.
- Occasional lifting of up to 50 lbs. for event setup and materials transport.
