The Marketing Coordinator will plug into the details of the Museum’s schedule and the departmental budget. Keep the plates spinning, help the marketing team with all details, and ultimately drive higher attendance and revenue for this esteemed institution.
Responsibilities
Budgeting for Department
- Reporting to the Head of Marketing and Sales, tracks departmental budget spending and assist in creating annual budget proposals.
- Works within MFAH internal software to enter detailed line items for budget.
- Collects departmental invoices and track their payment, working with marketing and finance colleagues.
- Working with marketing colleagues, creates a detailed schedule for coming months, reflecting all promotional efforts, major moments at the Museum, time off, etc. This vehicle will be a communication piece that can be used both internally and with colleagues and leadership across the Museum.
- Each year, the marketing team receives hundreds of requests for promotional efforts. The Marketing Coordinator tracks the incoming requests and responds to each colleague in a timely manner.
- Weaves the requests into the team’s detailed, internal schedule, and prepares the schedule for twice-weekly team meetings.
- Supports Head of Marketing and Sales in arranging meetings with team, Museum colleagues, and external contacts.
- Creates schedule for onsite Museum banners, understanding the power of the promotional real estate that exists on the Museum’s campus.
- Maintains professional relationship with vendor and schedules updates.
- Manages installation and take-downs of banners and reports updates to marketing leadership.
- The MFAH routinely receives requests for photo shoots on the Museum campus. The Marketing Coordinator tracks and responds to each request, determining which need further discussion by team leadership.
- Assists team in preparing for deadlines as far as reporting results to colleagues and leadership.
- Meets regularly with Development Department and determine when reports are needed, then deliver on behalf of the Marketing Department.
- Assists in creating slides that convey results to leadership and the Board of Trustees.
- This is a team that encourages ideas and involvement. If there are extra minutes in the day, the Marketing Coordinator helps with promotional ideas, campaign taglines, or creates branded emails in a pinch and contributes social media reels.
- Diplomacy and a high EQ for working with a busy team and MFAH colleagues
- Excellent organizational skills and a passion for getting the details right
- Tech-savvy, with demonstrated skills in working on various software platforms
- Strong writing and communication skills
- Facility with numbers and budget tracking
- Ability to handle multiple projects simultaneously while meeting deadlines
- Ability to prioritize with little supervision
- Interest in the arts and culture is a plus
- Bachelor's degree in communications, marketing, or advertising preferred OR an equivalent combination of experience and education from which comparable and demonstrable knowledge, skills and abilities have been achieved.
