- Position Summary:
The Capital Campaign Manager (CCM) is a two-year, full-time position (the “Employment Period”) reporting to the Museum’s Board of Trustees. The CCM will direct and coordinate all aspects of an approximately $5 million fundraising campaign (the “Project”) to raise the essential private funding to build a new Museum building for provision of additional museum display space and new administrative offices. At the end of the initial Employment Period, the Museum, at its sole discretion, may offer an extension of additional employment dependent upon the status of the Project’s completion and the then existing needs of the Museum. Any extended employment will be based upon terms negotiated between the Museum and the CCM at such time of extension.
The primary responsibilities of the CCM are to ensure all aspects of the capital campaign move forward, data is captured accurately, and individualized strategy is created for the organization’s portfolio of major donors. This includes day to day details of campaign implementation, arrangements and notifications for meetings, campaign correspondence, monitoring gift and pledge records and conducting prospect research, as well as being the lead in database administration. This position will work with a variety of campaign volunteers, consultants and donors. Additionally, the CCM will maintain a portfolio of major donors and is responsible for cultivation and stewardship of this portfolio.
Essential Duties:
- Schedule, attend and support all capital campaign planning meetings.
- Prepare all lists, reports and profiles concerning campaign prospects.
- Conduct ongoing ethical prospect research.
- Manage and maintain records of cultivation strategies, evaluations, solicitations, contact reports and results of all contacts with campaign prospects.
- Produce all capital campaign packets for prospect and donor visits with supporting documentation and follow-up correspondence.
- Produce all campaign correspondence including letters of acknowledgment.
- Manage campaign events, including cultivation events, focus groups and public outreach activities.
- Responsible for all elements of campaign events, including developing invitations, ordering food/beverages and coordinating follow up.
- Provide support for donor meetings and site visits.
- Maintain records regarding campaign gifts and pledges including payment schedules and the production of pledge reminders for outstanding pledge balances.
Develop talking points for speakers, written statements for media and presentations. Maintain photos, videos, schematic drawings and have available for presentations as needed.
- Prepare regular campaign reports to share with the Board and staff.
- Ensure donors are acknowledged in a timely fashion.
- Handle any incidental details related to the campaign as specified by the Board of Trustees.
Job Qualifications, Skills and Attributes:
A Bachelor’s degree or equivalent in a relevant field is preferred.
At least two years of advanced fundraising database management required.
A minimum of three years of experience in supporting major gift fundraising and concrete understanding of Moves Management.
Intermediate knowledge of prospect research process.
Excellent problem-solving and decision-making skills and sound judgment.
Ability to function as a collaborative team member.
Must be organized, having strong attention to detail, and be able to accept direction and to work independently.
Must maintain utmost discretion with regard to donor confidentiality and privacy.
Advanced knowledge of Microsoft Office required.
Proficiency in Little Green Light software.
Some travel required. Some night and weekend work required.
Attend all events as support to other staff and volunteers to ensure exceptional execution of special events. Participate in post event activities including stewardship and evaluating successes and challenges.
