Why We Need You
Manage operations of the Fundraising Data Services department, coordinating with Advancement and Accounting on the timely and accurate processing of all donations and maintenance of donor records. Act as the bridge between Advancement and Finance on matters relating to gifts in both the fundraising and general ledger systems. Support the Museum's high standards of donor stewardship and compliance with contribution-related government regulations.

What You’ll Accomplish
- Manage operations of the Fundraising Data Services department, hiring, managing, and developing department staff. Coordinate work of the department with Advancement and other departments within Finance, in order to ensure timely and accurate processing and reporting of data.
- Act as liaison with Advancement to coordinate responses to Advancement requests for data, advising Advancement staff on the use of the fundraising database, Advancement's own report and process development, troubleshooting of Advancement data within the database and other related systems, and resolving interdepartmental questions and issues. Advise Advancement on policy matters as they relate to data processing and regulatory compliance.
- In partnership with Advancement, CRM System Services, and IT, coordinate maintenance and use of those portions of the fundraising database with which Finance interacts. Responsibilities include: donor and prospect record and other data maintenance, and user training in order to ensure data is complete, accurate, and up-to-date; development of reports and other tools to allow the analysis of fundraising activities; maintenance of information security to ensure the security of personal, financial, and other protected information.
- Assist analysis of fundraising data and results to ensure data meets the end users' needs, is understood by the user, and supports accurate and actionable conclusions.
- Work with other Finance staff in accounting for and reconciling gifts and pledges to ensure the appropriate processing, documentation, and accounting of charitable contributions in the general ledger system.
- Assist department staff during peak times such as during month-end and year-end closes, by processing gifts, scanning and filing back-up documentation, and communicating of gift receipt to interested parties.
Technical Chops:
- Experience with fundraising databases, data management, reporting, gift processing, and fundraising operations.
- Thorough knowledge of fundraising operations and the interrelationship between finance and advancement functions, including applicable IRS and accounting rules and practices.
- Knowledge of fundraising and CRM databases, both front-end and underlying tables and queries.
- Proficiency in Excel
- Ability to manage multiple priorities and competing perspectives.
