Job Summary
Maintain constant communication with management, staff, and vendors to ensure proper operations of the organization. Grow the efficiency of existing organizational processes and procedures to enhance and sustain the organization’s internal capacity by actively pursuing strategic and operational objectives while ensuring operational activities remain on time and within a defined budget
Responsibilities
Manage timely data collection to update operations metrics to achieve productivity targets, reduce cost per unit, eliminate errors, and deliver excellent customer service
Partner with cross-functional support teams in improving the proprietary tools and systems
Lead projects from requirements definition through deployment, identifying schedules, scopes, budget estimations, ad project implementation plans, including risk mitigation
Coordinate internal and external resources, ensuring projects remain within scope, schedule, and defined budgets, in collaboration with staff from various functional departments
Analyze project progress and, when necessary, adapt scope, timelines, and costs to ensure the team adheres to project requirements
Establish and maintain relationships with all department heads, providing day-to-day contact on project status and changes
Coordinate Executive Director’s calendar and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness
Conduct research; compile and type statistical reports
Coordinate meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes
Skills and Qualifications
Bachelor’s degree in operations management, business administration, or related field
2 years’ proven experience in an operations management position
Strong budget development and oversight skills
Highly trained in conflict management and business negotiation processes
Knowledge of general business software and aptitude to learn new applications; proficiency in Google Suite
