Job Overview:
We are seeking a detail-oriented and organized Home Health Office Administrator to join our team. This position will play a key role in ensuring the efficient day-to-day operations of our home health office by providing administrative support to the healthcare team, managing client and caregiver records, and coordinating office activities. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced healthcare environment.
Key Responsibilities:
- Answer phones, respond to client inquiries, and direct calls to appropriate staff members.
- Manage and maintain patient files and records in accordance with confidentiality and HIPAA guidelines.
- Schedule patient appointments, home visits, and coordinate care services with nursing staff and other healthcare professionals.
- Process insurance authorizations and verify coverage for home health services.
- Prepare and maintain billing and payment records, ensuring accuracy and timely submission of claims.
- Coordinate employee schedules for caregivers, ensuring all patient visits are staffed appropriately.
- Assist with the recruitment and onboarding of new staff members.
- Order and maintain office supplies, ensuring an organized office environment.
- Process payroll for caregiving staff in a timely and accurate manner.
- Assist in preparing reports, documentation, and compliance forms as required by regulatory bodies.
- Ensure compliance with state and federal regulations, including those related to home health care services.
- Communicate with patients and families to ensure satisfaction with care services and resolve any concerns or issues.
- Perform other administrative duties as required.
Qualifications:
- High school diploma or equivalent; associate degree or higher preferred.
- Previous experience in a healthcare or home health setting preferred.
- Knowledge of medical terminology, insurance billing, and home health care regulations is a plus.
- Strong computer skills, including proficiency in MS Office and healthcare software (e.g., scheduling, billing software).
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal.
