The Publishing Administrator is responsible for managing and administrating the rights, royalties, and contracts related to music compositions. This role ensures that the company’s catalog is properly managed, royalties are tracked and distributed accurately, and music rights are protected and maximized for songwriters, artists, and other rights holders.
Key Responsibilities
- Royalty Management: Track and manage the collection and distribution of royalties from various sources (e.g., performance, mechanical, synchronization). Ensure payments are made accurately and on time.
- Contract Administration: Review and maintain accurate records of publishing agreements, licenses, and contracts between songwriters, artists, and third parties.
- Rights Management: Administer copyright registrations, ensuring all compositions are properly registered with the relevant performing rights organizations (PROs) and copyright offices.
- Catalog Management: Maintain and update music catalogs, ensuring the integrity of metadata, rights, and ownership information for all works.
- Communication and Relationship Management: Act as a point of contact for songwriters, artists, and external partners, including PROs, record labels, and sync agents. Provide ongoing support and guidance on publishing-related matters.
- Data Analysis and Reporting: Prepare royalty statements, financial reports, and tracking reports for internal teams and external partners. Monitor the financial performance of the catalog and suggest improvements.
- Compliance: Ensure the company adheres to all applicable copyright laws, industry standards, and best practices.
Skills and Qualifications:
- Fully bilingual: Spanish and English
- Music Publishing Knowledge: In-depth understanding of music publishing, copyright law, and royalty collection processes
- Organizational Skills: Strong ability to handle multiple tasks, manage projects, and meet deadlines in a fast-paced environment.
- Communication Skills: Excellent verbal and written communication skills for dealing with a wide range of stakeholders.
- Technical Proficiency: Familiarity with music publishing software (e.g., Music Maestro, Synchro, or similar systems), royalty management platforms, and Microsoft Office Suite.
- Problem-Solving Abilities: Strong analytical skills and the ability to resolve issues related to copyright, royalties, or contracts.
- Teamwork: Collaborative attitude, as the role often requires working with other departments (e.g., legal, finance, marketing).
Experience:
- Previous experience in music publishing or a related field is preferred.
- Experience working with performing rights organizations (e.g., ASCAP, BMI, SESAC) and digital platforms is a plus.
- Knowledge of licensing and synchronization processes is beneficial.
