JOB TITLE: Student Services Administrative Assistant

CLASSIFICATION: Hourly

REPORTS TO: CTC Principal

SUPERVISES: Not Applicable

TERMS:

This position is a 210 total paid days position offering full family
medical, dental, and vision benefits. Dental, vision, and life insurance are
paid by the district at no cost to the employee. Personal business days and
sick time paid. Retirement through the Office of Retirement Services (Pension
Plus or Defined Contribution).

SALARY RANGE:

This position is on Grade F, a nonunion hourly scale, $16.7549-$22.0632
per hour.

GENERAL JOB FUNCTION:

Employees in this classification perform general office duties such as typing, computer word processing, filing, operating typical office machines, answering telephones, and mailing correspondence.

The CTC Student Services Administrative Assistant provides essential administrative support to the Muskegon Area Career Tech Center, ensuring the accurate and efficient management of student records and the smooth operation of registrar functions. This position is responsible for maintaining the integrity and confidentiality of student information, processing enrollment and withdrawal procedures, managing attendance and grade records, and providing excellent customer service to students, parents, and staff. The CTC Student Services Administrative Assistant plays a crucial role in supporting the school's mission by ensuring accurate and timely record-keeping and facilitating efficient student services.

ESSENTIAL JOB FUNCTIONS:

  • Assumes typical administrative assistant duties, including phone and reception functions, word processing, data entry and spreadsheet creation, correspondence composition and distribution, mail distribution, and office machine operation.
  • Provides direct assistance to the CTC administration and building staff.
  • Work with the local school districts to establish, monitor, and amend a calendar of days when students are in attendance at the Muskegon Area Career Tech Center.
  • Assume responsibility for all attendance functions. This includes, but is not limited to, the daily processing in PowerSchool, following up with teachers, and reporting to the local school districts.
  • Assumes responsibility for all grade functions. This includes, but is not limited to, processing grades in PowerSchool, sending grades to all sending schools, and ensuring accuracy.
  • Assumes responsibility for building-level management of the CTC student information system. This includes, but is not limited to, creation and management of PowerSchool user accounts and gradebook management.
  • Provides a range of registrar duties, including enrollment, scheduling students, communication with counselors in all sending schools, updating student information in PowerSchool, and other duties as assigned.
  • Manages the student-centric processes. This includes, but is not limited to, processing student forms, substitute teachers, student transportation, field trip requests, direct credit paperwork, and student records.

9. Monitors and coordinates all events in the CTC building using multiple room scheduling software programs.

  • Uses a variety of electronic data gathering and reporting systems required by the State of Michigan and/or the MAISD.
  • Accepts responsibility for maintaining necessary rules of confidentiality.
  • Other duties as assigned by supervisor or designee.

MINIMUM QUALIFICATIONS:

1. Possession of a high school diploma or its equivalent.

2. Possession of excellent communication and customer service skills that relates positively to community, students and staff.

3. Demonstrated proficiency with a variety of Microsoft Office/ Google Suite platforms and data entry systems, including but not limited to, Access, Word and Excel.

4. Possession of excellent organizational and interpersonal skills.

5. An ability to prioritize and address multiple tasks and responsibilities.

PREFERRED QUALIFICATIONS:

1. Ability to work both in a team setting and independently.

2. Understanding of Career and Technical Education Programs.

3. Knowledge of educational technologies, such as PowerSchool and PowerTeacher.

4. Knowledge of State Reporting processes.

PHYSICAL REQUIREMENTS:

Occasional light to moderate lifting may be required. Normal office environment.

TYPICAL WORK ENVIRONMENT:

Most work is done in a typical office environment. Occasional errands and other assignments may be required in other building areas or elsewhere in the community.

EVALUATION:

Employees in this classification are evaluated prior to the completion of probationary status and according to Board policy and guidelines thereafter.

OPPORTUNITY FOR ADVANCEMENT:

Employees in this position have the ability to apply for available departmental administrative assistant positions within the organization. Performance evaluations are strongly considered when such promotional opportunities exist.

TRAVEL/OVERTIME EXPECTATIONS:

Travel is normally confined to occasional errands in the community. Overtime is relatively rare and at the discretion of the District.

PAY STRUCTURE:

This position is on Grade F of the MAISD salary scales.
