Muskegon Family Care is looking for a Full- Time Clerical Manager to join our Supportive & Collaborative Team. SUMMARY
Under the direct supervision of the Clinical Director, and in collaboration with the Patient Care Manager, the Clerical Manager assists with directing, coordinating and managing daily functions of clerical operations. Assists with planning, development and implementation of clerical programs, services and systems.

ESSENTIAL JOB FUNCTIONS including the following.
Coordinates clerical functions to ensure smooth flow of operations, and understands scope of the practice site.
Has a working knowledge of all aspects of the Clerical Support Staff including scheduling, front desk and phone operations, covering for each position when needed.
Has knowledge of computer applications including EMR, and email as well as various other software packages.
Monitors and addresses performance of staff, including attendance and quality and volume of work, and reports updates to the Clinical Director. Assists with interviewing potential candidates and hiring decisions.
Orients, trains and provides continued education and development to ensure that competency levels are attainable.
Assists in writing, revising and implementing departmental policies, procedures and protocol.
Is responsible for all front office equipment monitoring and maintains inventory of clerical supplies. Ensuring orders are placed when needed.
Identifies and resolves work problems, monitors patient satisfaction and responds to employee complaints, and works collaboratively with the Patient Experience Manager to address patient complaints in a timely manner.
Attends meetings, participates in committees, prepares reports, and manages assigned projects as requested by manager.
Responsible for assisting in the scheduling of all clinical providers; including building and maintaining individual schedules in collaboration with the Clinical Director.
Works jointly with the Medical Director and Clinical Director to maintain oversight of patient issues relative to complaints, discharges, and provider changes.
Consults frequently with providers, management, staff, peers to ensure program implementation and resolution of issues.
Understands the principles of Patient centered Medical Home.
Responds to in-person, electronic and telephone requests from provider, patients and clinical staff.
All other duties assigned.

SUPERVISORY RESPONSIBILITIES
Directly supervises 12-17 employees. Carries out supervisory responsibilities in accordance with the organization’s policies, procedures and applicable laws. Has primary oversight of Clerical Support Staff including schedulers, front check in, phone operator, and COVID screener.

EDUCATION/ CERTIFICATES, LICENSES, REGISTRATIONS
  • High School Diploma of GED (required).
  • Familiarity with Epic Patient Access software (preferred).
  • Knowledge of medical terminology, anatomy, and medical coding including CPT codes (minimum 1 year required).
  • 3 years of leadership experience as supervisor or team lead (required). Degree in business administration will be considered in place of work experience.
