What are the responsibilities and job description for the Events Coordinator position at MUST Ministries?
General Description:
The Events Coordinator will support the Events Manager in planning and executing fundraising events to benefit MUST Ministries, Inc.
Essential Responsibilities:
- Represent MUST Ministries in the most positive manner with clients, suppliers and the community we serve. Interact effectively with a diverse group of faculty, staff, and clients of our service, learn and use operating practices of MUST Ministries.
- Uphold the Mission Statement: Serving our neighbors in need … transforming lives and communities in response to Christ's call.
- Handle all information with tact and discretion and recognize the confidential nature of MUST Ministries.
- Support learning through performance of essential job functions and perform other duties and functions as necessary or as assigned.
- Working with the Events Manager and the Development department in planning fundraisings events.
- Assist the Events Manager with RFPs for venues, catering, transportation, and vendors.
- Schedule continual communications with the primary internal stakeholder(s) throughout the event from planning, during, and post-event.
- Attends all planning committee meetings for each event.
- Secure and maintain the inventory of Silent Auction items, as well as the process of check-in and check out of items.
- Assist the Events Manager in the management of the production company for virtual events.
- Assist the Communications Team with the event registration websites within third-party software companies and any other information, as necessary.
- Assist in the management of timelines for each event
Essential Job Requirements:
Bachelor’s in hospitality management or a high school diploma with a minimum of 4 years of event management experience (to include, conferences, training workshops, and meetings.)
- Excellent verbal and written communication skills with all levels of staff and clients in English.
- Working knowledge of the hospitality industry and terminology.
- Capable of multi-tasking in a high-stress environment with minimal supervision.
- Able to understand and execute complex instructions.
- Intermediate to the expert level in Excel and Google Suite.
- Experience working in an environment with people from diverse backgrounds.
- Proven negotiation ability.
- Must be able to act as a primary day-of-event representative before, during, and after the event.
Physical and Work Requirements:
- Work is performed both in the field and in an office environment.
- May be required to lift up to 30 lbs.
- Requires sitting, standing, sufficient mobility and physical reflexes.
