What are the responsibilities and job description for the Grants Analyst position at MUST Ministries?
General Description:
The key purposes of this position are to manage local, regional, statewide governmental grants from initiation, monthly reporting, contract compliance, through the close out process; to maintain a relationship with funding organizations; to coordinate the implementation of grant awards and ensure post-award compliance; and lead the process for compiling grant financial (in conjunction with Finance) and non-financial data for the preparation of internal reports, compliance reports, and grant billings.
Essential Responsibilities:
- Supports the Sr. Vice President of Housing Operations in submitting grant applications.
- Ensures accurate and timely preparation of grant billings and reports in conjunction with the Program and Finance teams.
- Analyzes and prepares monthly grant reimbursement reports using the grant budget in an accurate and timely manner, including gathering supporting documentation for grant reimbursements and monthly reconciliations with grants and finance team.
- Manages grant project budget development with the Sr. Vice President of Housing Operations and applicable Program/Finance teams and makes adjustments as requested, submitting amendments to the appropriate agency and following through on approvals.
- Leads the process of ongoing monitoring of grant budgets and expenditures, with communication to applicable internal stakeholders to ensure targets are met.
- Creates and maintains SEFA with the finance team to complete annual schedule.
- Creates and manages time tracking worksheets and distributes monthly or as needed.
- Creates forms and worksheets as needed to assist program teams with compliance.
- Supports the Sr. Vice President of Housing Operations in gathering data for reports and ensure that proper records are maintained.
- Support the Program team in coordination of the organization’s monitoring visits.
- Communicate relevant grant information to the Program/Finance teams and other applicable internal stakeholders.
Essential Requirements:
- Minimum of a Bachelor’s degree from an accredited university or college, preferably in an administrative –related field, including but not limited to business or accounting.
- At least three consecutive years of demonstrated professional experience developing and tracking project and financial budgets using EXCEL or other computerized systems.
- Knowledge of accounting and budgeting theory and practices required.
- Ideally, at least two consecutive years of successful experience in grant or contract administration and compliance management..
- Proposal development and research experience.
- Possess a high degree of skill in organizational leadership, administration, compliance, time management, and verbal communications.
- Excellent written and oral communication skills
- Demonstrated intermediate level in Microsoft Office (Word, Excel, Publisher, Outlook, Access, and PowerPoint)
- Proficiency in looking at data systems and extracting meaningful analysis from a data set Experience utilizing Homeless Management Information Systems (Client Track, Easy Trak) is a plus.
Physical and Work Requirements:
- May be required to lift up to 20 lbs.
- Requires sitting, standing, sufficient mobility and physical reflexes.
- Work is performed in an office environment
- Willingness to be flexible in scheduling work in off hours to complete grant application deadlines at peak seasons
