Position Summary

We are seeking a highly organized and detail-oriented HR Administrative Assistant to join our Human Resources team. The ideal candidate will provide administrative support to the HR department, assisting with employee records, recruitment processes, benefits administration, and other HR-related functions. This role is critical to ensuring the smooth operation of the HR department and supporting the overall employee experience.

Key Responsibilities

  • Employee Records Management : Maintain and update employee records electronically, ensuring that all personal information, employment contracts, and other HR documents are accurate and confidential.
  • Recruitment Support : Assist with the recruitment process, including posting job openings, scheduling interviews, conducting background checks, and preparing offer letters.
  • Onboarding Support : Coordinate new employee onboarding, including preparing orientation materials, facilitating introductions, and ensuring new hires have the necessary tools and access to systems.
  • Benefits Administration : Assist with the administration of employee benefits, including health insurance, retirement plans, and other company-provided benefits.
  • Payroll Assistance : Support the payroll process by ensuring accurate and timely submission of employee timesheets, maintaining leave records, and providing documentation as needed.
  • Compliance & Reporting : Assist in maintaining compliance with labor laws and regulations, and help prepare reports for HR and management as required.
  • Employee Communication : Serve as a point of contact for employee inquiries regarding HR policies, procedures, and benefits.
  • HR Documentation : Assist in the preparation of HR policies, employee handbooks, and other documentation related to HR procedures.
  • Training & Development : Help coordinate training sessions and track employee participation in training programs.
  • Event Coordination : Assist with the planning and organization of employee events, such as meetings, conferences, and team-building activities.
  • General Administrative Support : Provide general administrative assistance to the HR team, record keeping, scheduling, and general office organization.

JOB REQUIREMENTS

Qualifications

  • Proven experience as an HR Administrative Assistant, HR Assistant, or in a similar administrative role.
  • Strong understanding of HR policies, procedures, and practices.
  • Excellent organizational and time-management skills with a keen attention to detail.
  • Strong communication skills, both written and verbal.
  • Self-starter with the initiative to identify areas for process improvement and ability to work successfully in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software (e.g., Paycom, Workday, ADP) a plus.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Strong interpersonal skills and the ability to work effectively with employees at all levels.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • A customer service-oriented approach to internal employee support.
  • Education

  • High school diploma or equivalent required.
  • A bachelor's degree in human resources, Business Administration, or a related field is preferred.
  • Physical Demands

  • This position requires long periods of sitting, in front of a computer, in a climate-controlled office environment. Frequently typing on a keyboard, with the ability to type at least 45 WPM. Frequent phone interaction with employees and vendors. This job will require the ability to infrequently lift up to 20 pounds. Reasonable accommodations may be made to suitable candidate.
