PURPOSE OF POSITION
The Medical Office Receptionist provides clerical support in a team setting under the direction of the Intake Operations Supervisor and Operations Manager.
RESPONSIBILITIES & EXPECTATIONS
Check In
Completes registration process according to established office policies and procedures:
- Cheerfully greets and registers incoming patients and visitors in a prompt and pleasant manner, determines their needs and responds accordingly
- Registers patients in the practice management system; acknowledges patient in EMR (electronic medical records) system
- Verifies and updates all the patient’s demographic information
- Collects identification and insurance cards and must scan them into electronic record
- Verifies Insurance coverage and makes necessary updates to the appropriate system
- Prints encounter form (super bill, fee slip), labels as needed, enters patient information on white board
- Obtain forms as needed
- Understand the use of ABNs and obtain signatures when needed for non-covered services
- Has patient complete a sliding fee application as needed, sign financial agreement, receipt of privacy policy, benefits assignment, etc. May refer patient to a payment plan if needed
- Answer phone calls, take messages and make appointments
- Pulls prescriptions being picked up, copies ID and gets signature
- Manages waiting room, responsible to ensure that all patients are moved through continuum of clinical visit
- Directs visitors (drug reps, salespersons, etc.) appropriately
Check out
- Reviews services received by patients at check out, verifying services received on encounter form
- Reviews orders written by providers and determines where test and procedures may be performed based on patient’s insurance
- Schedules the test or procedure, may include phone calls and/or scheduling in multiple systems
- Provides the patient with information about preparation for the test or procedure
- Departs patient from EMR and white board
- Tells patient if any additional monies are owed if co-pay was collected at check-in
- Takes monies owed, posts monies and produces a receipt for the patient
- May refer patient to a payment plan if needed
- Makes return appointment for the patient if needed, schedules multiple appointments for OB patients
- Responsible for following thru with cancelling scheduled appointments for patients who have delivered
- Enters charges in the computer system for services received, verifying services with EMR
Scheduling
- Answer incoming calls and directs patients to appropriate area for assistance
- Schedules incoming patients
- Reschedule patients when necessary
- Sort and stamp incoming mail, labs and faxes
- Mail departmental welcome packets and appointment notifications
- Reschedule bumped appointments
- Cancel and reschedule appointments when schedules change
Other
- Track No-Shows and send out letters
- Work EMR queues
- Perform other duties as assigned
- Actively engage in teamwork
- Support the mission of MCHC
- Effectively use tools and tones for positive communication
Job Requirements
- High school diploma, GED or higher-level education
- Demonstrates ability to understand and utilize computer systems (Allscripts, Microsoft and insurance verification programs)
- Demonstrate positive interpersonal skills
- Function independently with flexibility and the ability to work with all levels of personnel
- Demonstrate professional conduct in the clinical setting
- Adhere to Patient Centered Medical Home (PCMH) principles
- Adhere to policies and procedures
- Fulfill position Responsibilities and Expectations as outlined
- Exhibit flexibility and willingness to work any schedule as directed
- Functions independently, have flexibility to work with all levels of personnel; clinical, professional and clerical
- Flexibility of moving throughout front office to cover for vacations and/or calls off to meet the needs of any clinic on any day
