My Little Team Texas in San Antonio, TX is looking for one daycare administrative assistant to join our 20 person strong team. We are located on 15415 Applewhite Rd Ste 102. Our ideal candidate is self-driven, punctual, and hard-working.
Responsibilities
- The Daycare Administrative Assistant is responsible for providing administrative support to ensure the efficient operation of the daycare center
- This role involves assisting with daily operations, maintaining records, handling communications, and supporting staff and parents
Front Desk Management:
- Greet and assist parents, children, and visitors upon arrival
- Answer phone calls and respond to inquiries in a friendly and professional manner
- Manage check-in and check-out procedures for children
- Administrative Support:
- Handle correspondence, including emails, letters, and phone calls
- Maintain organized and up-to-date records of children, including attendance, enrollment forms, and emergency contact information
- Assist with scheduling and coordinating events, meetings, and activities
Office Management:
- Order and manage office supplies and equipment
- Ensure the office area is organized and presentable
- Support staff with administrative tasks as needed
- Must have experience
Compliance and Reporting:
- Ensure compliance with state and federal regulations and licensing requirements
- Assist in preparing and submitting required reports and documentation to regulatory bodies
- Maintain up-to-date records of staff certifications and training
Support to Staff:
- Assist teachers and caregivers with administrative tasks
- Coordinate staff schedules and manage time-off requests
- Organize staff meetings and training sessions
- This position typically involves working in an office within the daycare center
- The role may require occasional lifting of office supplies or materials
- The administrative assistant may interact with children occasionally, requiring patience and a friendly demeanor
- Incase of excessive absentees, may be required to be in a classroom.
Communication:
- Serve as a point of contact for parents, addressing concerns and providing information
- Distribute newsletters, memos, and other communications to parents and staff
- Facilitate communication between management, staff, and parents
Qualifications
- Experience in enrollment proceeders
- Experience with Quickbooks or ProCare
- Efficient in excel, word, and powerpoint
- High school degree
- Organizational skills
- CPR and First Aid
- 1 year job experience in a daycare environment
Schedule
- Part-time, typically Monday through Friday. 1:00 pm - 6:30 pm
