Project Administrator Job Description

Our client, an established appraisal firm, is seeking a detail-oriented and organized Project Administrator to join their team. This role is essential in supporting project managers and ensuring the seamless execution of projects. We are looking for a candidate with strong administrative skills, a knack for coordination, and the ability to maintain clear communication across teams. Key Responsibilities

  1. Project Tracking and Coordination
  • Maintain project schedules and trackers using tools like Monday.com.
  • Update the firm’s calendar with critical milestones, including hearing/trial dates, locations, and other relevant events.
  • Coordinate and schedule project meetings such as kick-offs and wrap-ups.
  • Support the creation and maintenance of project schedules while tracking progress.
  1. Document Preparation and Management
  • Prepare and organize hearing/trial documents in both electronic and physical formats.
  • Collect and manage project-related documentation from clients, vendors, and subcontractors.
  • Assist in proposal preparation by gathering necessary data and information.
  • Maintain well-organized project files to ensure accessibility and ease of retrieval.
  1. Communication and Collaboration
  • Serve as a liaison between project team members, including administrative staff, appraisers, and analysts.
  • Distribute meeting agendas, minutes, and actionable items to relevant stakeholders.
  • Track and report on communication activities for internal and external purposes.
  • Assist in compiling lessons learned and identifying process improvement opportunities.
  1. Project Support
  • Prepare project deed plots and KMZ files using tools like Google Earth and client surveys.
  • Gather data for project reports, including budget updates and milestone achievements.
  • Perform additional project-related tasks as directed by the project manager.
  • Adhere to established project management processes and procedures.

Qualifications and Skills

  • Strong organizational skills with keen attention to detail.
  • Exceptional verbal and written communication abilities.
  • Proficiency in Microsoft Office and project management software (e.g., Monday.com).
  • Ability to multitask, prioritize effectively, and meet deadlines in a dynamic environment.
  • Familiarity with project management principles and methodologies (preferred).
  • Experience in a professional office setting (preferred).
