Key Responsibilities
- Project Tracking and Coordination
- Maintain project schedules and trackers using tools like Monday.com.
- Update the firm’s calendar with critical milestones, including hearing/trial dates, locations, and other relevant events.
- Coordinate and schedule project meetings such as kick-offs and wrap-ups.
- Support the creation and maintenance of project schedules while tracking progress.
- Document Preparation and Management
- Prepare and organize hearing/trial documents in both electronic and physical formats.
- Collect and manage project-related documentation from clients, vendors, and subcontractors.
- Assist in proposal preparation by gathering necessary data and information.
- Maintain well-organized project files to ensure accessibility and ease of retrieval.
- Communication and Collaboration
- Serve as a liaison between project team members, including administrative staff, appraisers, and analysts.
- Distribute meeting agendas, minutes, and actionable items to relevant stakeholders.
- Track and report on communication activities for internal and external purposes.
- Assist in compiling lessons learned and identifying process improvement opportunities.
- Project Support
- Prepare project deed plots and KMZ files using tools like Google Earth and client surveys.
- Gather data for project reports, including budget updates and milestone achievements.
- Perform additional project-related tasks as directed by the project manager.
- Adhere to established project management processes and procedures.
Qualifications and Skills
- Strong organizational skills with keen attention to detail.
- Exceptional verbal and written communication abilities.
- Proficiency in Microsoft Office and project management software (e.g., Monday.com).
- Ability to multitask, prioritize effectively, and meet deadlines in a dynamic environment.
