Job description
The Receptionist/Administrative Assistant is the first point of contact for clients, vendors, and team members. This role requires a professional, organized, and personable individual who can handle multiple tasks efficiently in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and thrives on ensuring smooth day-to-day office operations.
Key Responsibilities:
Front desk management
Greeting and welcome visitors, clients, and vendors with professionalism and warmth.
Manage all incoming calls, emails and correspondence, ensuring prompt and accurate responses.
Maintain a clean and organized reception area and office.
Administrative Support:
Provide administrative assistance to property management, maintenance teams, bookkeeping, realtors, and owners. This includes scheduling meetings, preparing documents, managing calendars, and many other tasks.
Organize and maintain electronic and physical files for contracts, invoices and maintenance records.
Assist with data entry, reporting, and tracking of property management and maintenance activities.
Office Coordination:
Order and maintain office supplies, ensuring the inventory is stocked and well-organized.
Liaise with staff, vendors, contractors, and service providers to coordinate office maintenance and services.
Client and Tenant Relations:
Serve as a liaison between property managers and tenants, addressing work orders and concerns promptly.
Assist in distributing notices, processing applications, and coordinating tenant move-ins and move outs.
Special Projects:
Support event planning, marketing efforts, and team-building initiatives as needed.
Collaborate on process improvements to enhance operational efficiency.
General work
This job requires you to be willing to work for the business on just about anything. We all work together to get the job done. We hire people to work, and work includes everything. From answering phones to unloading 50 lbs. of deliveries, going to check on a property to cleaning a bathroom, painting a wall to installing a sign. Qualifications:
Proven experience as a receptionist, administrative assistant, or similar role (preferably in real estate or construction).
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with AppFolio or similar property management software is a plus.
Exceptional organizational and multitasking abilities.
High School Diploma or higher-level education.
