The Grants Compliance Specialist will ensure that MY Project USA’s programs operate in full compliance with grant requirements, focusing on budget alignment, reporting accuracy, and interdepartmental coordination. This role supports both pre- and post-award functions and works closely with grant writers and department leads to integrate new funding streams seamlessly.
- Budget Alignment: Regularly monitor and ensure that organizational spending adheres to the budgets and plans submitted in grant applications. Identify any discrepancies and coordinate corrective actions promptly.
- Data Collection & Reporting: Implement and oversee the collection of all required data for grant reporting with each program director, ensuring accuracy and timely submission in alignment with grant requirements.
- Deviation Management: Establish a protocol for identifying, documenting, and addressing any deviations from approved grant plans. Promptly coordinate with relevant departments to implement corrective measures and document the process.
- Departmental Coordination: Secure written confirmations from department heads prior to the initiation of new grants, ensuring a clear understanding of data collection requirements, budget adherence, and compliance expectations.
- New Grant Integration: For each new grant, extract key compliance requirements and budgetary expectations and disseminate this information to the relevant departments. Provide guidance and support to department heads to integrate new compliance requirements smoothly.
- Collaboration with Grant Writers: Work closely with MY Project USA’s grant writers to align grant writing efforts with compliance standards.
- Relationship Building & Planning: Build strong working relationships with department heads, ensuring proactive communication. Schedule regular meetings and provide ongoing support to address compliance issues as they arise.
- Audit & Documentation: Maintain thorough documentation of compliance processes, audit trails, and correspondence to support internal audits or grantor reviews.
- Program Staff Liaison to Grant Writers: Coordinate and connect program staff with grant writers, scheduling touch‑points and guiding teams in supplying accurate metrics, narratives, and budget details so writers have the information they need to craft strong, timely grant proposals.
Qualifications:
- Bachelor’s degree in Public Administration, Non‑profit Management, Finance, Accounting, or related field (Master’s or CGMS preferred).
- Experience: 2-4 years managing federal and private awards ≥ $250 k a year.
- Knowledge of 2 CFR 200 Uniform Guidance, single‑audit preparation, and common foundation requirements is a nice plus.
- Demonstrated skill in building grant budgets, monitoring burn rates, and preparing accurate fiscal and narrative reports.
- Proficient with grant‑accounting and reporting systems (QuickBooks class tracking, or similar).
- Exceptional organizational and interpersonal abilities; comfortable training program staff and liaising with grantor officers.
- Detail‑oriented and self‑directed, able to juggle multiple deadlines and draft corrective‑action plans when deviations arise.
