JOB OVERVIEW:
My Sisters’ Place (MSP), a 501(c)(3) nonprofit organization located in Westchester County, New York, has grown from a grassroots task force and drop-in center, formalized in 1978, to a cutting-edge leader and resource in the fields of domestic violence and human trafficking. MSP strives to end domestic violence and human trafficking through comprehensive services, advocacy, and community education and works to create a world in which every individual has the basic human right to be free from gender-based violence and to engage in relationships that embrace the principles of respect, equality, and safety.
As an HR Generalist at My Sisters’ Place, you will be instrumental in supporting our human resources operations. You will support our HR team to ensure effective HR processes.
The HR Generalist role consist of maintaining compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance, managing various HR documents, such as employment contracts, onboarding, and updating internal databases. Other than this, you will lead in the hiring process, from prescreening and scheduling interviews with the hiring managers.
The HR Generalist must reply to emails, take phone calls and answer employee questions in person, take minutes of meetings, and ensure timely completion of all tasks. Our ideal candidate is someone with at least 3-5 years of working in relevant roles in the past.
KEY DUTIES:
- Ensure accurate and up-to-date records of employee information, such as personal details, employment documents, benefits, and performance reviews. Handle confidential information with sensitivity and in compliance with data protection regulations.
- Recruits, interviews, and facilitates the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
- Facilitate the onboarding process for new hires, including administering orientation programs and completing necessary paperwork.
- Guide employees on HR policies, procedures, and employment-related matters. Ensure compliance with legal requirements and internal policies.
- Utilize HR software and databases to input, update, and retrieve employee data. Generate reports and analyze data to support decision-making and identify trends or areas that require attention.
- Organize and coordinate training programs, workshops, and employee development initiatives. Maintain training records and track employee participation.
- Assist the COO in Documenting employee relations matters.
- Attends and participates in employee disciplinary meetings, terminations, and investigations.
- Draft and review HR-related documents, such as employment contracts, promotion letters, and disciplinary records.
- Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
- Perform general administrative tasks, such as filing, photocopying, and answering phone calls. Assist in organizing HR events and meetings.
HR ADMINISTRATOR REQUIRED SKILLS:
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Effective communication skills, both verbal and written.
- Ability to handle confidential information with discretion.
- Proficient in using HRIS (Human Resources Information Systems) and other HR-related software.
- Familiarity with employment laws and regulations.
- Strong problem-solving and decision-making abilities.
- Ability to work independently and as part of a team.
- Strong interpersonal skills and ability to build relationships with employees at all levels.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
REQUIRED QUALIFICATION:
- Bachelor's degree in Human Resources, Business Administration, or a related field (or an equivalent combination of education and 1-2 years’ experience.)
- Previous experience in a similar role as an HR Administrator or HR Assistant is preferred.
- Knowledge of HR best practices and current trends.
- Familiarity with various HR processes, such as recruitment, onboarding, and employee relations.
- Understanding of HR-related legislation and compliance requirements.
