A Collections Specialist is responsible for managing and recovering outstanding amounts owed to the company. Your primary goal is to ensure timely payment on accounts while maintaining positive relationships with our customers.

The job description of a Collections Specialist includes the following responsibilities:

Account Collection: Contacting customers to pursue amounts owed, typically through phone calls, emails, written correspondence, and field visits. You must effectively communicate the account details, payment options, and consequences of non-payment while adhering to legal and ethical guidelines.

Payment Negotiation: Communicating with customers to establish payment plans or settlements that are mutually agreeable. Collections specialists may need to analyze a customer's situation and history with us to determine the most feasible payment options.

Account Reconciliation: Reviewing customer accounts to identify discrepancies, resolve billing issues, and ensure accurate records of payments and outstanding balances. You may collaborate with other departments, such as sales or customer service, to address any discrepancies or customer inquiries.

Documentation and Reporting: Maintaining accurate records of all collection activities, including communication logs, payment arrangements, and any changes to the account status. Collections specialists may also generate reports on collection efforts, payment trends, and outstanding balances for management review.

Compliance: Ensuring compliance with applicable laws, regulations, and industry guidelines, such as the Fair Debt Collection Practices Act (FDCPA) and other relevant regional regulations. You must conduct your collection activities in a fair, respectful, and legally compliant manner.

Customer Service: Providing excellent customer service to customers by addressing their inquiries, concerns, and disputes promptly and professionally. Collections specialists should maintain a courteous and helpful demeanor while firmly pursuing account payment or recovery.

Relationship Management: Building and maintaining positive relationships with customers by establishing rapport, understanding their needs and circumstances, and working towards mutually beneficial solutions. This involves effective communication, active listening, and empathy.

Target Achievement: Meeting or exceeding collection targets, such as monthly or quarterly goals, set by the company or organization. Collections specialists may be evaluated based on their ability to achieve key performance indicators (KPIs) related to collections results and account resolution.

Qualifications and Skills:

  • High school diploma or equivalent.
  • Prior experience in debt collection, credit and collections, or a similar role is required.
  • Prior experience in the Rent To Own industry is preferred.
  • Familiarity with relevant laws, regulations, and industry best practices, such as the FDCPA and regional debt collection guidelines.
  • Strong negotiation and communication skills, both written and verbal.
  • Excellent interpersonal skills with the ability to handle difficult or sensitive situations tactfully and professionally.
  • Attention to detail and strong organizational skills to manage multiple accounts and prioritize collection efforts effectively.
  • Proficiency in using collection software, customer relationship management (CRM) tools, and Microsoft Office applications.
  • Ability to work independently and collaboratively within a team environment.
  • Persistence, resilience, and the ability to handle rejection or difficult conversations calmly and professionally.
  • Heavy lifting of furniture and appliances will be necessary in this position.
