The Position
The Associate Director of Samples and Voucher Operations would oversee the US operational management and distribution of Samples and Voucher programs for Organon. In this role, you will be responsible for working with key stakeholders such as brand marketing, third-parties, market access, business technology, sales operations team, finance, compliance and legal to manage the end-to-end operations of samples and voucher program inventory, distribution and compliance. You will lead cross-functional teams to develop and implement strategies to improve the efficiency and effectiveness of sample and voucher programs, while ensuring that all activities align with company policies and external regulations. This role will report into the US Director of Marketing and Sales Operations.

Job Description
The Position
The Associate Director of Samples and Voucher Operations would oversee the US operational management and distribution of Samples and Voucher programs for Organon. In this role, you will be responsible for working with key stakeholders such as brand marketing, third-parties, market access, business technology, sales operations team, finance, compliance and legal to manage the end-to-end operations of samples and voucher program inventory, distribution and compliance. You will lead cross-functional teams to develop and implement strategies to improve the efficiency and effectiveness of sample and voucher programs, while ensuring that all activities align with company policies and external regulations. This role will report into the US Director of Marketing and Sales Operations.
Responsibilities
- Responsible for managing the relationship with our samples/voucher third-party, who is responsible for logistics and distribution.
- Lead the transition of our current programs and inventory to new third-party partner(s). Inclusive of integration with Concur, updating SOPs and policies, data transition, compliance reporting, Business Technology (BT) system connections (Veeva CRM & My Sample closet) and the move of current inventory to new distributor location.
- Lead cross-functional teams for integration activities related to BD deals.
- Confident in making critical business decisions efficiently and effectively.
- Critical thinking to help evolve and create efficiencies to our current processes. Leverage innovation with third-party partners or learnings from industry to help us evolve. Responsible for leading work related to efficiency improvements.
- Responsible for working with appropriate compliance and legal stakeholders to update and maintain any SOPs, policies, and reporting.
- Lead the collaboration with marketing, market access, compliance, and legal to align sample and voucher strategies with overall business goals.
- Responsible for quickly resolving field or vendor issues related to samples and voucher programs. This includes clear communication of status and working with key stakeholders to ensure a timely resolution.
- Lead discussion with brands to align on sample/voucher allocations. Ensure allocations are entered into the system correctly and communicating ongoing inventory levels and destruction needs with brands.
- Responsible for overall compliance with company policies including the accurate tracking and reporting of samples and voucher usage. Ensure required monthly and annual reporting has been completed.
- Budget management for samples and voucher operations: SOW alignment and PO management and monthly budget reconciliation inclusive of samples operational expenses and storage unit oversight.
- Responsible for development of training materials and delivery of the training to sales representatives for new programs, new hires, or modification to programs.
- Manage contractor(s) supporting the business, if needed.
- Analyze data to identify trends and opportunities for improving samples and voucher operations.
- Bachelor's degree.
- Ideal candidate will have some experience working with sample and voucher programs, sample and voucher operations or general sales operations.
- Ability to leverage data or evaluate processes to create efficiencies and champion change.
- Experience working in an area or industry that is highly regulated.
- Proven ability to lead cross-functional teams to successfully execute projects on time and within scope.
- Strong strategic thinking, analytical, and problem-solving skills, with the ability to give clear direction and make timely decisions.
- Excellent communication, collaboration, and interpersonal skills, with the ability to build and maintain effective relationships with senior leaders, managers, staff, and external partners.
- Highly adaptable, flexible, and resilient, with the ability to work in a fast-paced and dynamic environment, and cope with ambiguity and change.
