The Sales Coordinator will be responsible for planning, organizing and managing all aspects
of an event. The Sales Coordinator will communicate with clients and liaise with vendors to
ensure proper completion of operations.
Responsibilities:
- Analyze past events to find ways to improve future events.
- Attend networking events to cultivate new business.
- Attend post-event evaluations to determine how future events can be improved.
- Attend production meetings and sales meetings.
- Communicate to other departments of all details of each event. Make sure both the
production team and the kitchen team have accurate and concise information to execute
each event.
- Coordinate onsite catering teams and vendors.
- Create backup plans in case of rain, cold weather, unhealthy air etc.
- Create floor plans and timelines.
- Create proposals and Banquet Event Orders (BEOs); draft, revise and close estimates/
sales.
- Create styling themes for event proposals.
- Develop and maintain knowledge of hospitality market trends.
- Invoice and process payments.
- Liaise with vendors.
- Maintain an open line of communication with clients.
- Negotiate/discuss contract requirements with clients.
- Organize and price rentals.
- Place orders with vendors.
- Plan multiple events simultaneously.
- Resolve any problems that occur.
- Respond to inquiries via email and phone in a timely manner.
- Review event bills, and charge clients accurately through the software.
- Schedule and conduct food tastings.
- Schedule and conduct site visits/ walkthroughs.
- Supervise front and back of house as well as vendors.
- Troubleshoot at events and fill in where needed.
- Upsell products and services.
Qualifications:
Prefer 2-4 years experience as a catering sales coordinator
- A team player with high level of dedication.
- Bachelor’s degree in Business Administration or relevant field; certification in sales or
marketing is a plus
- Excellent verbal and written communication skills.
- Good computer skills (MS Office Google Workspace)
- Proven experience in event sales; experience as a catering sales coordinator or in other administrative
positions will be considered a plus.
- Well-organized and responsible with an aptitude in problem-solving.
Certified meeting planner or Certified wedding planner certificate a big plus
Physical Requirements:
- Able to reach hands and arms in any direction and kneel, stoop or crouch repeatedly.
- Close and distance vision.
- Continual use of manual dexterity and gross motor skills with frequent use of bi-manual
dexterity and fine motor skills.
- Frequent standing with some walking and sitting.
- Lift/carry up to 25 lbs.
- Identify and distinguish colors.
- Occasionally lift/carry up to 50 lbs.
- Stand for long periods of time.
Working Environment:
- May be indoor or outdoor setting.
- May work in cold, hot, or windy environments.
- Varying schedule to include evenings, holidays and extended hours as business
dictates.
Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
