Job Title: Program Operations Coordinator (Hybrid)

Location: Valencia, CA (Hybrid - Onsite and Remote)

Job Summary:

Mystis Adult and Family Services is looking for a versatile and experienced Program Operations Coordinator to support our growing team in a hybrid working environment. This role is ideal for someone with a background in social work and program management who is eager to contribute to our mission while balancing onsite work in our Valencia, CA office with remote work flexibility. As the Program Operations Coordinator, you will be at the forefront of client engagement and program support, ensuring smooth operations and a seamless experience for clients, staff, and visitors.

Key Responsibilities:

  • Front Desk & Virtual Management:
  • Serve as the primary point of contact for clients, visitors, and staff, both onsite and virtually, ensuring a warm and professional experience.
  • Manage phone calls, emails, and inquiries with efficiency and accuracy, providing detailed information about Mystis services and programs.
  • Maintain an organized and welcoming reception area in the Valencia office, while also managing virtual communication channels.
  • Client and Program Support:
  • Leverage your social work background to assess client needs during initial contact, providing informed support and appropriate referrals.
  • Assist clients with the intake process, both in person and remotely, ensuring all necessary information is gathered and processed.
  • Support the Chief of Programs in coordinating program activities, managing schedules, preparing documents, and tracking program milestones.
  • Hybrid Collaboration:
  • Work collaboratively with social workers, case managers, and other staff, both in-person and remotely, to ensure clients receive comprehensive care.
  • Facilitate communication and collaboration between remote and onsite teams, ensuring that all staff members are aligned and informed.
  • Participate in program-related meetings and case conferences, both onsite and via video conferencing, taking detailed notes and following up on action items.
  • Administrative and Program Support:
  • Provide robust administrative support for program management, including data entry, report generation, and maintaining accurate program files.
  • Assist with the planning and execution of hybrid events, training sessions, and meetings, ensuring all logistical details are handled.
  • Support special projects and initiatives as directed by the Chief of Programs, contributing to the continuous improvement of program operations.
  • Confidentiality and Compliance:
  • Uphold strict confidentiality standards, ensuring the protection of client information and adherence to all organizational policies and state regulations.
  • Ensure accurate documentation of all interactions and program activities, maintaining compliance with Mystis's policies and legal requirements.
  • Office and Remote Operations:
  • Manage office supplies and inventory for the Valencia location, coordinating with remote teams as needed.
  • Coordinate with IT and facilities teams to address any technical or operational issues in the hybrid work environment.
  • Support the transition between onsite and remote work, ensuring seamless operations regardless of location.

Qualifications:

  • Education:
  • Bachelor’s degree in Social Work, Human Services, or a related field is preferred. Equivalent experience in social work or program management may be considered.
  • Experience:
  • Minimum of 2 years of experience in a social work setting with an understanding of client needs and program delivery.
  • Experience in program management or operational support, particularly in a non-profit or social services context.
  • Previous experience in a receptionist, administrative, or coordination role is highly desirable.
  • Skills:
  • Exceptional communication skills, with the ability to interact effectively both in-person and virtually with diverse populations.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a hybrid work environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with remote collaboration tools (e.g., Zoom, Teams).
  • High level of empathy and cultural competence, with a client-centered approach to service delivery.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Working Conditions:

  • Environment: Hybrid work model with both in-office and remote responsibilities. Must be able to handle a high volume of inquiries and maintain a professional demeanor across different communication platforms.
  • Physical Requirements: Ability to work both in a traditional office setting and a remote environment, with extended periods of computer use.
  • Schedule: Full-time, Monday through Friday, with occasional evening or weekend hours for special events or meetings.
