Position Overview
The Customer Service Coordinator is the first point of contact for our customers and plays a crucial role in delivering an exceptional customer experience. This role supports the General Manager and the operations team by handling customer interactions, scheduling services, managing billing, and coordinating jobs. The ideal candidate is customer-focused, organized, and adept at multitasking in a fast-paced environment.
Key Responsibilities
- Customer Interaction:
- Respond to phone calls, emails, and texts from customers.
- Address customer inquiries, concerns, and scheduling requests promptly and professionally.
- Ensure timely follow-ups and maintain positive relationships with clients.
- Scheduling and Coordination:
- Schedule pool maintenance, repairs, and inspections.
- Coordinate job assignments with technicians and ensure efficient routing.
- Update customers on job status, technician arrival times, and any changes to schedules.
- Billing and Invoicing:
- Generate and send invoices to customers.
- Process payments and handle billing inquiries.
- Follow up on outstanding invoices and manage payment plans when necessary.
- CRM Management:
- Maintain and update customer information in the CRM system (e.g., Skimmer, Jobber).
- Ensure accurate documentation of services, repairs, and customer interactions.
- Sales Support:
- Assist with selling services, equipment, and maintenance packages.
- Sign up new customers and process service cancellations as needed.
- Follow up on leads and referrals to grow the customer base.
- Vendor Relations:
- Communicate with suppliers and vendors to order parts and materials.
- Network with vendors to ensure timely delivery and negotiate favorable terms.
- Administrative Tasks:
- Prepare reports and summaries related to customer service and operations.
- Support the General Manager and other team members with day-to-day administrative duties.
Required Skills and Qualifications
- Customer Service Experience: 2 years in a customer-facing role, preferably in a service industry.
- Communication Skills: Excellent verbal and written communication skills.
- Organizational Skills: Strong multitasking abilities and attention to detail.
- Tech Savvy: Proficiency with CRM software, Microsoft Office, and scheduling tools.
- Problem-Solving: Ability to handle customer concerns with empathy and find effective solutions.
- Team Player: Collaborative mindset and ability to work closely with technicians and management.
Preferred Qualifications
- Experience in the pool service, maintenance, or home services industry.
- Familiarity with software like Skimmer, Jobber, or similar platforms.
- Sales experience or background in upselling services.
