Position Overview:
The Practice Coordinator plays a critical role in the success of our practice. This person will help lead the team, ensuring smooth day-to-day operations while keeping a keen eye on efficiency, patient satisfaction, and team cohesion. The right individual will approach this role with a sense of ownership, be proactive in problem-solving, and maintain a positive, professional attitude in a fast-paced healthcare setting.
Key Responsibilities:
Administrative / Operational:
- Oversee daily operations of the clinic, ensuring a seamless patient experience.
- Manage appointment scheduling, patient check-in/check-out, and front desk operations.
- Handle office correspondence, emails, and phone communications professionally.
- Maintain office supplies, clinic cleanliness, and equipment functionality.
- Develop and implement office policies and procedures for efficiency and compliance.
Billing & Financial:
- Assist with insurance verification, claims submission, and billing follow-ups.
- Process patient payments and reconcile daily financial transactions.
- Monitor accounts receivable and ensure timely collections
- Work closely with accountants/bookkeepers to maintain accurate financial records
Team Leadership & Support:
- Serve as a point of contact for staff, providing guidance and resolving issues as they arise.
- Train and onboard new administrative employees, ensuring adherence to clinic policies.
- Foster a supportive and productive work environment.
- Work with the Clinic Lead to coordinate team meetings and facilitate effective communication between chiropractors, staff, and patients.
- Approve timecards and PTO, following standardized clinic procedures.
Patient Relations / Customer Service:
- Ensure patients receive a welcoming and efficient experience from start to finish.
- Address patient concerns, schedule follow-ups, and handle feedback professionally.
- Assist in patient education and engagement efforts to promote continued care.
Growth & Business Development:
- Identify opportunities for improving clinic efficiency, patient retention, and revenue growth.
- Assist with marketing initiatives, including social media, community outreach, and special events.
- Monitor key performance metrics and suggest improvements to optimize clinic performance.
- Proven experience as a Practice Coordinator, preferably in a healthcare or chiropractic setting.
- Strong knowledge of medical billing, insurance processes, and financial transactions (chiropractic experience is a plus).
- Excellent leadership skills with the ability to motivate and support a team.
- Highly organized with a strong attention to detail and problem-solving skills.
- Outstanding communication and interpersonal skills to interact with patients and staff.
- Proficiency in EHR (Electronic Health Records) systems and office management software, Microsoft, Excel.
- Ability to prioritize in a fast-paced environment.
