Position Summary
The Admissions and Testing Coordinator is responsible for processing admissions applications, ensuring accuracy and completeness, and coordinating all standardized testing services related to new and prospective students across all campus locations. This individual will play a crucial role in facilitating the admissions process, managing standardized testing schedules, and providing excellent customer service to students and faculty. The Admissions and Testing Coordinator will also work to resolve errors related to the admissions process, including but not limited to clearing errors in Axiom, DAX, and TargetX. Flexibility is required, including participation in off-campus events, workshops, and conferences, with occasional overnight travel and evening or weekend hours.
Essential Duties And Responsibilities
- Adhere to the policies, rules, and standards of Central Alabama Community College, the Alabama Community College System, accrediting agencies, and federal regulatory bodies.
- Ensure student records are maintained in compliance with the Family Educational Rights and Privacy Act (FERPA).
- Process and review student applications, ensuring accuracy and completeness.
- Verify and update applicant data in the College’s operating system.
- Ensure the timely receipt and processing of required documents, including transcripts, test scores, and application forms
- Provide guidance to prospective students on admission requirements and procedures.
- Maintain up-to-date admissions documentation in the College’s operating systems.
- Identify and resolve errors in the admissions process, including clearing errors in Axiom, DAX, and TargetX.
- Coordinate and schedule standardized testing sessions for prospective and current students.
- Communicate testing dates, times, and locations to students and faculty, ensuring all participants are informed.
- Supervise and support students during testing sessions, ensuring a smooth and professional experience.
- Maintain testing materials, ensuring secure and timely delivery of all required resources.
- Ensure the confidentiality and security of testing data in adherence to applicable policies and guidelines.
- Serve as a point of contact for students, guiding them through the admissions and testing processes.
- Respond to inquiries from prospective students, parents, and agents regarding the admissions process and testing procedures.
- Provide accurate, clear, and timely information to applicants and other stakeholders.
- Act as a liaison between testing, Student Services, Department of Education, and Central Alabama Community College divisions.
- Collaborate with faculty, staff, and other departments to ensure proper admissions and testing procedures are followed.
- Assist with the preparation of reports related to admissions and testing activity for internal and external stakeholders.
- Maintain accurate and timely records for both admissions and testing data.
- Assist in budget preparation for the Office of Enrollment Services, including managing the requisition and purchase order processes.
- Maintain active licensure and certifications required to administer required tests and assessments.
- Participate in student organizations, serve on committees, attend college meetings, and engage in professional development opportunities.
- Assist with student services across functions, including enrollment, pre-college orientation, and other areas during absences or emergencies.
- Perform other duties as assigned, including participation in off-campus events and workshops with occasional overnight travel and weekend hours.
- Bachelor’s degree from a regionally accredited institution in a job-related area is required.
- Experience working in an educational environment is required.
- Proficiency with computer applications, including word processing and spreadsheets, is required.
- Ability to communicate effectively in both written and oral formats with students, faculty, staff, and the public is required.
- Ability to work independently on complex tasks and prepare reports from data resources is required.
- Strong organizational and prioritization skills is required.
- Ability to maintain confidentiality and handle sensitive information is required.
- Flexibility to work non-traditional hours and travel to other campus locations as needed is required.
- Experience working in a collaborative team environment with the ability to manage multiple priorities and maintain a positive attitude is required.
- Ability to work with diverse populations and provide excellent customer service is required.
- Experience in preparing, reviewing, and editing professional documents is required.
- Ability to understand, interpret, and apply policies and procedures is required.
- Previous experience in higher education, student services, or customer service is preferred.
- Experience with educational information systems, data collection, and analysis is preferred.
- Experience in standardized testing in an educational environment is preferred.
