The Brokerage Assistant is responsible for providing full administrative, brokerage and marketing support to a top producing agent in our Kalamazoo, MI office.
Essential Responsibilities:
1. Serve as liaison with CAR, FlexMLS, LoopNet and other web-based services for property listing issues.
2. Complete all procedures and documentation related to new listings, listing extensions/amendments/terminations, done deals, etc.
3. Coordinate and maintain computer file system.
4. Conduct research on properties/contacts and compile data based on client, prospect and agent needs using various software programs and internet resources.
5. Create and prepare marketing packages, including drafting bullet points and other content, property data compilation, creation of corridor aerials and picture editing.
6. Prepare proposals, specialty marketing materials, corridor maps, BOV’s/MVA’s, etc.
7. Input and management of agent listings on CAR, FlexMLS, LoopNet, etc.
8. Update and maintain listings/databases to track listings, deals, expirations, signs, etc.
9. Input data and maintain contacts, properties and miscellaneous items into REA.
10. Assist with closing procedures, including create and maintain closing checklists, abstract leases and purchase agreements, track dates and documentation, compute commission fees, create and track commission invoices, create comp reports and close transactions on CAR, FlexMLS, LoopNet, REA, etc.
11. Order, maintain and monitor sign installations, changes and removals.
12. Track commissions and lease expiration dates.
13. Contact municipalities with property-related questions.
14. Respond to telephone/email property inquiries from brokers, clients and prospects.
15. Function as an executive assistant, including scheduling meetings, calendar maintenance, reviewing and preparing correspondence, etc.
Non-Essential Responsibilities:
1. Create and distribute mailing lists.
2. Assist marketing department by providing pictures and details for eBlasts and social media posts.
3. Provide backup to other Brokerage Assistants as needed.
4. Perform general administrative duties such as answering phones, filing, faxing, scanning, typing, mailing, binding, emailing, scheduling, organizational skills, further support and leverage the sales process.
5. Send comparables on properties that have sold or leased to appraisers.
6. Recommend policies and procedures that ensure efficiency and promotes agent/client satisfaction.
7. Other duties as assigned.
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
