Sunrise,FL - USA Position Requirements The Talent Acquisition Operations Specialist will support the Talent Acquisition team by optimizing and streamlining the recruitment process, managing systems and processes, and ensuring operational efficiency. This role will work closely with the talent acquisition team to drive process improvements, maintain recruitment data, manage reporting, and implement best practices. The Talent Acquisition Operations Specialist will play a critical role in enhancing the overall candidate experience, ensuring that the recruitment process runs smoothly and efficiently. Key Responsibilities: Recruitment Process Optimization: Support the design and implementation of talent acquisition processes and workflows to improve efficiency, consistency, and candidate experience. Identify areas for process improvement within the recruitment lifecycle and work with the team to streamline steps, minimize bottlenecks, and improve time-to-hire. Ensure the smooth and efficient operation of the recruiting process from job requisition to candidate onboarding. Data Management and Reporting: Manage the Applicant Tracking System (ATS) and other recruitment tools to ensure accurate data capture and reporting. Develop and maintain key recruitment metrics and dashboards (e.g., time-to-fill, cost-per-hire, candidate pipeline, etc.), providing actionable insights to leadership. Regularly generate reports on recruitment performance, trends, and diversity metrics, ensuring data accuracy and compliance with relevant regulations. Track and analyze recruitment data to identify trends, provide strategic recommendations, and support continuous improvement efforts. Manage regional trackers that provide insight into the recruitment pipeline. Systems and Tools Management: Oversee the implementation, integration, and maintenance of the ATS, and other recruitment technologies to ensure optimal usage and functionality. Work with IT and HR systems teams to ensure seamless integration of recruitment tools Troubleshoot and resolve issues related to recruitment systems and tools, providing support to the talent acquisition team as needed. Compliance and Documentation: Ensure that recruitment processes comply with all legal, regulatory, and organizational standards, including Equal Employment Opportunity (EEO) guidelines and healthcare-specific requirements. Maintain up-to-date documentation of recruitment policies, procedures, and processes, ensuring compliance with internal and external audits. Assist in managing background checks, reference checks, and other pre-employment screenings in accordance with company policy and legal requirements. Collaboration and Support: Partner with talent acquisition team members, HR, and hiring managers to provide operational support, ensuring alignment on recruitment priorities, timelines, and deliverables. Act as a point of contact for operational issues or inquiries related to the recruitment process and systems. Collaborate with the HR team to ensure the smooth transition of candidates from recruitment to onboarding, supporting a seamless hiring process. Training and Support: Provide training and guidance to talent acquisition staff on ATS usage, recruitment best practices, and operational tools. Serve as a resource for new team members, onboarding them into recruitment operations processes and systems. Stay up to date on trends in talent acquisition operations and share knowledge with the team to drive process improvements. Qualifications: Education: Bachelor’s degree in Human Resources, Business Administration, or a related field. Additional certifications in talent acquisition, HR operations, or project management are a plus. Experience: 3 years of experience in talent acquisition operations. Proven experience with ATS (Applicant Tracking System), recruitment technologies, and HR software platforms (e.g., iCIMS, Greenhouse, Workday, etc.). Experience managing data, creating reports, and analyzing recruitment metrics. Skills: Strong organizational and project management skills, with the ability to manage multiple initiatives and deadlines. Proficiency in MS Office (Excel, PowerPoint, Word) and data visualization tools (e.g., Power BI). Excellent problem-solving skills and attention to detail. Ability to work collaboratively in a fast-paced, team-oriented environment. Knowledge of recruitment processes, metrics, and best practices. Strong communication skills with the ability to engage stakeholders at all levels.
