Position Title: Safety and Facilities Administrative Coordinator

FTE: 25% (10 hrs/week)
Compensation: $23.00 - $27.00 based on prior experience

Job Summary
As the Safety and Facilities Administrative Coordinator you will provide office support for the department. This position is responsible for record-keeping, collaboration on documentation, processing invoices and will take on special projects as assigned.

Job Duties & Responsibilities:

• Maintain key database, inventory, and requests.
• Activate IDs and keep track of door access/schedules.
• Track student, staff, and public campus events to ensure proper access is given.
• Create and complete work requests as necessary.
• Maintain strict confidentiality of information including access codes, incident reports, and investigation details.
• Input invoices and submit to accounts payable.
• Assist with work orders or projects as needed.

Minimum Requirements:

• Bachelor’s degree in business or similar degree. 4 additional years of experience may substitute for degree.
• 3 or more years of experience in an administrative role, preferably in a facilities department.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to work independently and as part of a team.
• Attention to detail and accuracy.
• Problem-solving and analytical skills.
• Ability to handle multiple tasks and prioritize effectively.
• Experience with facilities management or related fields is a plus.

Preferred Qualifications:

• Bachelor’s degree in business, administration, or similar preferred.

Physical Requirements & Environmental Conditions:

During regular daily activities, employee must be able to do the following with or without reasonable accommodation: lift up to 15 pounds, stand, walk, sit, run, handle/finger, bend at the waist, reach above shoulder level, kneel, crouch, interruptions/distractions and heat/cold.

Naropa recognizes the following holidays throughout the year: Martin Luther King, Jr. Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Fall Break, 4th Thursday and Friday in November, and Winter Break, the last two weeks in December encompassing the Christmas holiday as well as New Year’s.

Naropa’s health and welfare benefits include the following: medical, dental, vision, FSA, HSA, employer-paid short-term and long-term disability, employer-paid life insurance and accidental death and dismemberment, an employer-sponsored pre-tax retirement savings plan, which includes up to 2.5% employer matching, and a variety of voluntary, employee-paid supplemental insurance plans.

A comprehensive benefits package is available to full-time employees who work a minimum of 30 hours each week. Employees who work 20 – 29 hours each week are eligible for only the employer-paid short-term & long-term disability, employer-paid life insurance & accidental death and dismemberment, and the retirement plan, which includes up to 2.5% employer matching.

Employees who work fewer than 20 hours per week are eligible to participate in Naropa’s retirement plan only, which includes up to 2.5% employer matching.

All regular full-time and part-time faculty and staff, including student workers, accrue sick leave benefits. Full-time and part-time staff positions accrue vacation and personal time. All leave accrual rates vary based on the position, hours worked, and years of service.
