Position Description

Summary
Nashoba Brooks School seeks candidates for the position of executive assistant to the head of school. This is a full-time, 8:00 a.m. to 4:00 p.m. 12-month position with occasional evening commitments and weekend hours. The executive assistant reports to the head of school and performs administrative and operational tasks to support the head of school, manage day-to-day operations, and maintain an effective and well-organized office.

Responsibilities
Administrative Support
  • Provides multi-faceted administrative support and assistance to the head of school, such as writing and editing communication.
  • Supports the head of school in overseeing strategic planning, daily operations of the School, short and long-term goals, special events, and institutional projects.
  • Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects and information.
  • Manages the head of school’s calendar and travel, including making appointments and prioritizing the most sensitive matters.
  • Assists with various aspects of employee recruitment.

Problem Solving & Project Management
  • Demonstrates efficient, effective, and ethical problem solving and project management skills.
  • Conducts research and information gathering on behalf of the head of school and prepares summaries and reports.
  • Sets professional boundaries using discretion, judgement, respect, sensitivity, while managing confidential and sensitive information.
  • Maintains high standards of performance and demonstrates a commitment to lifelong learning and continuous improvement.

Supervision & Community Building
  • Provides oversight of administrative office staff.
  • Takes an active role in the full life of the school to maintain and enhance a positive, mission-driven and student-centered school culture.
  • Develops positive and strategic relationships at all levels of the School and promotes the standards and policies of the School.
  • Sets and maintains a calm, accessible, approachable, and welcoming tone in a fast-paced environment.
  • Embodies and communicates the School’s mission and core values, and mirrors the head’s principles of good practice to foster a positive environment for students’ academic and social-emotional learning.

Qualifications
  • A minimum of five years of experience in office administration (experience as an executive assistant preferred).
  • Excellent administrative, organizational, and time management skills.
  • Excellent interpersonal, communication and proofreading skills.
  • Experience with Google G Suite for Education.
  • Ability to work independently as well as with a team.
