What are the responsibilities and job description for the Convention Sales Coordinator position at Nashville Convention & Visitors Corp?
Position Summary:
The Convention Sales Coordinator provides administrative support for convention sales managers. This is accomplished through effective communication with managers and clients. It is also accomplished through efficient use of the office tools and resources. This position aids in the overall objective of bringing meetings of all sizes, demographics, and interests to Nashville.
Essential Functions:
Responsibilities include, but are not limited to the following:
Database Management
- Tracking interaction and client activity conducted by sales managers with accuracy in order to maintain accurate records and create an invaluable tool for the sales team. This includes building new convention accounts, creating new contacts, entering and issuing leads, updating lost business information
- Sending definite notifications to hotel and industry partners to ensure effective communication
- Generating reports for sales managers to communicate the current status of bookings
Communications
- Providing updates to sales managers when requested by maintaining a working knowledge of sales managers’ current bookings and client interests
- Preparing hotel matrices and documents that demonstrate Nashville’s availability/interest in hosting conventions
- Answering general questions for clients about their upcoming visit, hotel information, proposal information, etc. to aid in the communication efforts of the sales managers
- Sending marketing collateral to prospective clients to further assist in their decision to select Nashville as their convention host
- With sales managers’ direction, gathers additional information from hotel partners for updates to room blocks and rates
Expense Management
- Manage and track expenses for sales managers, ensuring accurate and timely processing of reimbursements
Proposals
- Assists sales managers in preparing proposals based on client’s specifications in order to demonstrate interest in bringing their convention to Nashville
Site Visits
- Assists sales managers in planning and scheduling client site visits to Nashville
Qualifications:
- Education- High School Diploma or GED
- Skills- Oral and written communication; exceptional customer service; organizational skills and basic computer skills
- Experience- Experience working in hospitality preferred; Experience in meeting/event planning and community outreach preferred.
