We are seeking a talented Front Office Coordinator like you to join our team at our Clarksville, TN location.
The Front Office Coordinator manages a variety of front office functions and is key to the smooth operation of a dynamic outpatient pain center as well as performs general office duties to assist the staff.
Answers inquiries and provide information to the general public, customers, visitors, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the organization.
We are one of the leading pain management groups in Middle Tennessee with Physician and Advanced Practice Providers providing care at multiple Interventional Pain Clinics and an MRI Center.
All employees should perform their job responsibilities according to our clinical and employee policies, as well as to accrediting organizations, federal and state regulations, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable.
Essential Functions:
- Coordinates with leadership to maximize the daily patient census.
- Greet persons entering the establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
- Maintains all patient communication needs including scheduling, rescheduling, and appointment reminders. Also works and schedules for providers, according to the care continuum model.
- Obtains and verifies patient insurance information, including pre-certifications and pre-authorizations for services and enters data in appropriate databases.
- Coordinates/schedules ancillary testing and procedures.
- Assembles new patient charts, maintains and files existing patient charts, and spot checks charts for data completeness and signatur
- Receive payment and record receipts for services.
- Collects and enters patient charges in databases.
- Transmit information or documents to customers, using computer, mail, or facsimile machine.
- Analyze data to determine answers to questions from customers or members of the public.
- Provide information about the establishment, such as the location of departments or offices, employees within the organization, or services provided.
- Answer, screen, or forward calls, provide information, take messages, and schedule appointments.
- Perform administrative support tasks, such as operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
- Performs other duties as assigned by management.
Education/Experience:
- Two or more years of office administration experience, preferably in a medical setting
- high school diploma or higher
- knowledge of medical terminology, procedures, and diagnosis
- knowledge of computer and relevant software applications
- knowledge of general administrative and clerical procedures
- working knowledge of healthcare insurance
