Position Title: Facilities Administrative Coordinator

Position Description: The Facility Administrative Coordinator at Nashville Zoo plays a crucial role in ensuring the smooth operation and maintenance of the zoo's facilities. This position provides essential administrative support, coordinates with vendors, manages inventory, and assists with budgeting and financial reporting. The ideal candidate will be organized, detail-oriented, and capable of handling multiple tasks efficiently.
Duties and Responsibilities:
- Provide general administrative support to the Facilities Department including handling correspondence, scheduling meetings, and maintaining records.
- Assist in managing the zoo’s facilities, ensuring they are well-maintained and comply with health and safety regulations.
- Manage relationships with vendors and service providers, including coordinating maintenance and repair services.
- Oversee the inventory of supplies and equipment, ensuring the necessary items are stocked and available.
- Assist in expense tracking and budget reporting.
- Handle inquiries and tickets from staff related to facilities, providing information and assistance as needed.
- Other duties as assigned.
Qualifications:
Skills:
- Excellent interpersonal/ customer service skills: professionalism, empathy, collaboration, and active listening.
- Strong organizational and multitasking skills.
- Exceptional verbal and written communication skills.
- Proficient with Microsoft products (Excel, Outlook, etc.)
- Attention to detail and organized.
- Reliable with strong time management.
- Bilingual is a plus.
Education/Experience:
- High school diploma or equivalent.
- 1 years’ experience in a similar professional administrative or customer service role.
Physical Responsibilities:
- Work environment is a typical office setting; must be able to sit/stand for an extended time.
- Must be able to walk throughout the zoo when needed.
- Must be able to view a computer screen and type for extended periods of time.
- Move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance.
- Must have reliable transportation.
Work Schedule:
- Full-time position, averaging 40 hours per week.
- Monday – Friday, 8:00 AM to 4:30 PM
