Responsibilities
Responsibilities:
- Prepare and submit job billing according to customer contract/PO requirements
- Review contracts and respond to information requests/understand billing and field reporting requirements
- Update databases and review/perform data entry
- Assist regional managers with job scheduling, customer notifications
- Assist managers with client billing, contracts, invoicing and purchase order creation
- Review and update project start/end dates and maintain job data
- Develop new job profiles (basic job details and job classifications, project dates, job plan, estimated expenses, pricing and applicable contracts, and client contact information) within project management system
- Obtain purchase orders and/or billing instructions from clients
- Request change order approvals or purchase order increases from clients and provide appropriate supporting documentation
- Communicate with clients to provide information on past and present jobs, monthly accruals, and contract services.
- Review completed job file to assure all field paperwork is submitted and all labor and other expenses are accurate
- Compile billing details for completed jobs and provide all job documentation to support billing
- Communicate with contractors/subcontractors to get quotes and invoices
- Analyze billing details with area manager if profit margin targets are not met, and record operational issues as needed
- Assist area manager in reviewing labor and expense reports as needed, and in providing accurate data on region performance to accounting
- Compose and/or edit project reports for clients
- Assist with customer collections, reports as needed
Required:
- High School Diploma or equivalent
- Advanced knowledge of computers (MS Office, basic operation, folder creation, email, etc)
- Ability to perform comfortably in a fast-paced, deadline-oriented work environment
- Excellent organizational skills, interpersonal, verbal and written communication skills with the ability to present and interpret information clearly, both written and verbal
- High ethical standards; optimistic with a passionate commitment to excellence
- Bachelor’s Degree in Business or related field of study
- Ability to represent the company in a professional manner
- 2 years previously related experience
- Experience with field service and construction
