Administrative Assistant to the Purchasing Director
Summary:
Nassau Provisions is seeking a reliable, professional, and motivated Administrative Assistant to join our growing team. In this role, the assistant will work directly with the Purchasing Director to coordinate administrative functions of purchases, commodities, and products for resale. The assistant will be responsible for learning company purchasing procedures and maintaining supply inventory levels required for effective company operation.
Duties and Responsibilities:
- Establish good business relationships with suppliers to allow for improved lead times and facilitation of problem resolutions.
- Ensure suppliers provide quality materials on time and resolve material issues and material returns when expectations are not met.
- Follow up on open purchase orders daily, including revisions of open purchase orders.
- Tracking deliveries and returns.
- Manage all shipments and deliveries, ensuring accuracy.
- Ensure accurate pricing with vendors and handle any issues related to pricing issues.
- Communicate and coordinate with various departments, including transportation.
- Maintain effective communication with all departments needed to ensure efficient workflow within the company.
- Support the purchasing team as needed.
- Follow up with all backorders and missing items for each vendor.
- Follow up with inventory to ensure proper stock is available
- May need to go into the warehouse to check inventory and follow up on orders.
- Perform other duties as assigned.
Qualifications:
- College Degree or equivalent work experience.
- 2 or more years of experience working in the purchasing department preferred.
- Demonstrates sound judgement, patience, and maintains a professional demeanor at all times.
- Strong interpersonal, verbal, and written communication skills.
- Positive attitude, creativity, problem analysis and decision-making skills
- Available to work full-time on site.
- Proficient in Excel, MS Word, Outlook,
- Ability to analyze, organize and prioritize work while meeting multiple deadlines.
- Self-directed, completes assignments accurately, thoroughly and with minimal oversight.
- Detail oriented, organizational skills and the ability to prioritize.
