OFFICE MANAGER
(PLEASE NOTE THAT THIS IS AN IN-PERSON JOB @ OUR WILLISTON OFFICE)

The Office Manager oversees all aspects of the office’s day-to-day activities and ensures that staff have what they need to function effectively and efficiently. This includes managing communication systems (phone and email), office supplies, and equipment (printers and laptops). The Office Manager also provides administrative support and manages the database. This is a permanent, part-time (25-30 hours/week) position that reports to the NAMI Vermont Executive Director.

Key Roles and Responsibilities:

  • Greet visitors.
  • Open, process, and distribute mail.
  • Serve as the primary phone support person for warm line.
  • Manage and respond to emails directed to info@nami.org.
  • Maintain NAMI Vermont shared calendar and zoom meetings.
  • Prepare and submit check requests, purchase orders, and reimbursement forms.
  • Maintain office supplies, equipment, contracts, and vendors.
  • Provide administrative support for special events including but not limited to the Annual Business Meeting, Mental Health Advocacy Day, NAMI Vermont Conference, NAMIWalks Vermont, and other special events.
  • Process memberships and donations.
  • Maintain memberships on the NAMI National Database (360/720).
  • Maintain general office procedures.
  • Other duties as assigned.

Requirements:

  • Minimum two-year degree from an accredited college or university, or equivalent experience required.
  • Knowledge of and commitment to mental health services and issues preferred.
  • Minimum two years’ experience as an office manager, front office manager, or senior-level administrative assistant required.
  • Knowledge of office administration, management, systems, and procedures.
  • Demonstrated process improvement skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency with the MS Office Suite and Google products (MS Word, MS Excel, MS PowerPoint, MS Publisher, Gmail).
  • Excellent time-management skills as well as the ability to multi-task and prioritize work.
  • Attention to detail and strong problem-solving skills.
  • Self-motivated, independent worker as well as a strong team player.

Work Environment

  • Have regular access to a personal vehicle and hold a valid operator’s license and insurance.
  • Ability to travel in-state (mileage reimbursed).
  • Available for occasional evenings and weekends (special meetings and events.)
  • Ability to work at the Williston, Vermont office.
