NCSC is looking for an experienced Program Specialists to join our Association Services team within the Public Affairs group. The Program Specialist with Association Services provides high-level administrative support to assigned associations that includes membership updates, processing invoices, event and conference registration, monthly reporting, and other duties in support of an association manager.

- Demonstrates conduct that upholds the basic Core Values of NCSC
- Provides day-to-day administrative support to assigned associations, including front-line customer service via telephone and email
- Maintains association membership records and supports the membership activities of the associations. Processes new memberships and renewals by reviewing applications for accuracy, following up on missing or incorrect information, and ensuring that all applications are processed in a timely manner.
- Maintains full knowledge of upcoming events, strategic plans and programs, services, publications, membership benefits, and dues structure to assist in answering member questions
- Assists with the preparation of board packets for Board of Directors and general business meetings which includes pulling committee reports form Qualtrics, formatting the reports and then compiling everything in Adobe Pro to create a finalized board book
- At the direction of the Association Manager(s), prepares membership, financial and conference registration reports
- Prepares bank and credit card deposit reports on a weekly basis; assist in the preparation of deposits and banking information for monthly reports
- Manages the general association email inbox and general phone line, assisting association members and the public
- Travels to assigned association conferences throughout the country as required
- Provides on-site support at conferences and meetings including set-up, run and manage the registration desk, and other duties as requested
- Processes invoices utilizing an online payment processing system; reconcile online payments and prepares invoices for membership dues and conference registration fees
- Processes conference registrations and payments using CRM software
- Provides staff assistance for committees as requested by manager
- Creates post-conference feedback surveys using survey software in Qualtrics
- Assists with marketing materials
- Assists with updating the associations website content
- Assists in building the conference app using Webex
- Bachelor’s degree in business administration, marketing or other relevant degree, or equivalent education and experience that demonstrates the ability to effectively perform in the position
- 2 years of executive level administrative support within a client-based or non-profit organization handling similar functions as a Program Specialist
- Ability and willingness to travel to support the assigned association’s conferences. Travel occurs 3-4 times a year up to 1-week at a time (travel dates are known well in advance)
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Working knowledge of a CRM (or other similar database) with the ability to extract data to create various association reports
- Ability to work with and manage Excel spreadsheets, such as ability to manipulate data, utilize v-lookups, create reports, etc.
- Excellent written and verbal communication skills. Ability to communicate ideas, thoughts, and concepts clearly, concisely, in a compelling way
- Ability to meet multiple deadlines by maintaining a high level of organization while managing several projects simultaneously
- Experience producing marketing materials, such as brochures, flyers, etc.
- Interpersonal skills to work effectively with colleagues and customers
- Ability to foster client satisfaction and build customer goodwill
- Ability to work both collaboratively as a member of a team and independently
- Ability to be proactive and anticipate deadlines
- Knowledge of Qualtrics or similar survey tool preferred

The annual starting salary for this role is between $47,840 - $55,000, factors which affect starting pay within the range include education, experience, and other qualifications as it relates to the position.
