Description
GENERAL PURPOSE OF THE JOB:
The overall purpose of this position is presenting a welcoming face to all visitors, applicants, employees of NCIA, who need to conduct business at our corporate office.
ESSENTIAL DUTIES AND JOB RESPONSIBILITIES:
- Answers all incoming phone calls within 3 rings; providing information as requested; directs caller to appropriate employee extension; provides caller with employee’s direct dial phone number, takes messages as needed.
- Greets all visitors and clients, determines their needs and directs them to the appropriate employee.
- Greets applicants and provides them with information regarding the application process.
- Receives and sorts agency incoming mail. Prepares mail for delivery to programs/departments.
- Assists staff in reserving conference rooms/training rooms electronically.
- Ensures all forms are in adequate supply (i.e., New Hire processing packets).
- Prepares new hire personnel files. Ensures all required documents are present and filed according to agency requirements. Completes File Audit Checklist. Notifies employees, managers and HR staff of missing documents and takes appropriate steps to receive required documents.
- Distributes/grades reading & math CMT assessments (documents and answer keys located at front desk) - Residential Counselor candidates only.
- Completes telephone verifications of employment – Using telephone reference forms & information provided by new hire.
- Performs other duties as assigned by the HR Director or designee.
Qualifications
SUPERVISORY RESPONSIBILITIES: None
EDUCATION AND/OR EXPERIENCE:
- High School Diploma or GED
- Professional speaking voice
- Able to type; demonstrated proficiency with MS Office products (MS Word and Excel)
- Previous experience with confidential information a plus
LANGUAGE SKILLS:
- Ability to read and interpret documents, such as incoming mail, documents to be retained in order to scan into appropriate folders.
MATHEMATICAL SKILLS:
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
REASONING ABILITY:
- Ability to apply common sense to carry out detailed but uninvolved written or oral instructions.

OTHER SKILLS AND ABILITIES:
- Ability to prioritize workload and projects to ensure completion of assignments within established timeframes.
PHYSICAL DEMANDS:
- Primarily sedentary with occasional walking, close vision required for reading and commuting, no lifting, pushing and pulling over 25 pounds.
WORK ENVIRONMENT:
- Inside office environment with moderate noise (examples: business office with computers and printers, light traffic).
