NCQA is hiring an HR Specialist to support the HR function across Employee Solutions and Talent & Organizational Development. The Specialist will serve as first point of contact for questions, plan and coordinate onboarding and training activities, handle new hire paperwork logistics and serve as first point of contact for new hires, pull reports and draft communications, prepare information for exit interviews, and other administrative support for the HR function. Requires confidentiality, attention to detail, organization skills, ability to work in a team environment while still working independently and responsibly, make sound decisions, exercise good judgment and initiative, and respond to quickly changing priorities.


Responsibilities:

Training Materials and Support for Virtual and In Person Sessions:

    • Prepare Miro board ahead of collaborative sessions for flagship programs such as Management Essentials and Navigating NCQA
    • Ensure participants have completed their prep work and follow up as needed
    • Act as a producer during live sessions and manages breakout rooms and collaborative boards
    • Schedule New Hire orientation, Navigating NCQA (day 2 orientation), Tea with Peggy, and other Employee Solutions or Talent & OD logistics.
    • Coordinate speakers and relevant presenters.
    • Provide on-site support for meetings.

New Hire and Separation Processing:

    • Serve as first point of contact for new hires.
    • Collect and analyze new hire data, launching paperwork in UKG, collecting pictures/IDs, and processing new hires in UKG.
    • Launch new hire survey and coordinate other mandatory new hire training, tracking and communication.
    • Process hires in UKG.
    • Schedule exit interviews and prepare exit documents.
    • Prepare relevant information for Payroll.

Performance Management assistance:

    • In conjunction with HR team members, during PMP time answer questions from employees and help administer. performance review logistics in UltiPro.
    • Pull reports of review and/or goal completion, send reminders to employees and managers regarding completion of steps of the process to ensure timely completion.
    • Schedule performance management process training meetings.

Compliance Trainings:

    • Set up assignments of required compliance training
    • Manage the log of assignments
    • Track completion of required compliance trainings including HIPAA, Sexual Harassment Awareness, Code of Conduct, and other internal and external compliance items.
    • Provide reports of timely completion and send reminders to employees, managers and/or leadership to encourage completion on time and/or shortly after deadline.

HR Support:

    • Prepare and pull reports as requested.
    • In collaboration with HR team members, prepare communications for sMatter or other mechanisms on internal compliance trainings, benefits program reminders, or reports as needed.
    • Monitor HR Helpdesk for assigned areas and provide responses.
    • Update SharePoint sites as needed

Learning Management System Administration:

    • Update user and audience data on a periodic basis
    • Investigate and resolve system issues
    • Perform regular audits to ensure content is current and meets established standards
    • Retrieve reports to address regular and adhoc reporting needs such as completions and outstanding requirements
    • Upload and manage training content in the Learning Management System as needed
    • Support customers with uploading content and other uses

Survey Management:

    • Support the launch of organization-wide surveys
    • Assist with reporting needed to communicate the results of the surveys

Requirements:

  • BA or BS in Human Resources or related, or equivalent experience in HR field.
  • 1 years of Human Resources experience and/or personal characteristics aligned with HR practitioners / individuals actively engaged in the field of Human Resources as a career (such as high degree of confidentiality, integrity, approachability, and customer oriented).

  • Ability to maintain confidentiality, strong initiative and resourcefulness are required.

  • Ability to communicate with impact and positivity, and to listen well.
  • Demonstrable passion for HR field and for strong customer service delivery.
  • Strong interpersonal skills
  • - able to interact at all levels of the organization and provide high-level, positive and exuberant customer service.
  • Experience in Word, Excel and PowerPoint. Experience with HRIS (Human Resources Information Systems and integrated Payroll systems.)
  • Ability to learn new tools.

Compensation & Benefits:

  • For new hires, this position pays in the range of $62K - $70K per year, depending on experience.
  • This position is eligible for an annual incentive bonus, payable in accordance with policy.

Salary : $62,000 - $70,000
