Office Administrator\Collector Job Duties
Potential Monthly Collection bonus of up to $1,750 per month
Potential Quarterly Regional Bonus of up to $3,200 per quarter
Max combined annual bonus potential of $35,800!
Collections: 85% of your day-to-day
- Collector approves or holds up new orders for past due customers.
- Initiate collection calls after analysis of the customers account and establish collection priorities.
- Research and reconcile billing and pricing issues; submit credit memos as required.
- Negotiate renewal terms with fencing customers.
- Process accounts for bad debt write-off based on written criteria and often with direction from the Regional Managers.
- Process payments on COD transactions, including checks and credit cards.
- Meet or exceed collection goals set by management.
- Maintain a professional attitude with customers and associates.
- Maintain clean and safe work area.
- Perform other duties and/or tasks as instructed or assigned.
Payroll (PayCom Entries): 12.5% of your day-to-day
- Calculate fence installers pay worksheets and enter piece rates.
- Process certified payroll, calculate wages, and enter prevailing wage payments.
- Ensure the accuracy of employees timecards through daily approvals and address any missing punches with the employee.
- Enter approved time off requests and job titles and compensation changes.
- Complete and submit finalized weekly payroll to corporate.
- Perform payroll audits.
- Create an account for new employees and enter information from the new hire orientation packet.
- Complete final check requests, termination forms, and forward to Corporate Human Resources.
Accounts Payable: 2.5% of your day-to-day
- Reconcile P-Card expense reports and submit to the Regional Manager for approval.
- Prepare invoices sent into the regional office for Regional Manager approval twice a week
Operations: Once per month
- Collect requests and submit orders for office supplies.
- Track and schedule DOT license and health certification renewals.
- Update bulletin boards (legal posters, OSHA compliances, etc.).
- Rotate files in compliance with the document retention policy.
- Complete contractor bid forms.
Recruiting: As Needed
- Run classified advertisements on electronic job boards.
- Conduct applicant prescreen and schedule interview with RM
- Submit background checks and schedule drug screening for applicants.
- Conduct new orientation, office training, and send new hire paperwork to corporate HR.
Risk & Safety: As needed
- Update tailgate meeting spreadsheet with the completed safety topics for the week.
- Assist RM with Workers Comp, General Liability, and Automobile Liability claims processing.
- Assist with Trimester Safety Meeting scheduling and presentation set up.
- Order, post, and distribute safety products and printed materials.
- Schedule and track random or reasonable suspicion drug testing.
Benefits: As needed
- Respond to benefit questions from employees.
- Direct employees to benefit provider customer service departments or corporate HR when needed.
- Distribute, post, and promote Regional and Corporate reward programs.
- Schedule and assist employees with benefits during new hire and open enrollment.
- Submit LOA request for employees requesting time off for FMLA, disability and/or personal leaves.
- Distribute, post, and promote employee Wellness participation.
Qualifications:
- Bilingual Spanish/English Required
- High School diploma or equivalent.
- Associates degree (A.A.) or equivalent from two-year College or technical school, or a combination of two years of related administrative experience or education.
- Proficient in Microsoft Outlook, Word, Excel, and Windows.
- Capable of exercising sound judgment to plan and execute tasks, and adept at following detailed written and verbal instructions.
- Proficient in calculating figures such as piece rates, discounts, interest, commissions, proportions, and percentages.
- Skilled in problem definition, data collection, fact establishment, and drawing valid conclusions.
