Position Overview
Under the direction of the NCG Director, the Site Manager is responsible for overseeing the administrative and management operations of a specific site(s), location(s), or program(s). As a Tier 2 Leadership position, this role focuses on referrals, productivity, customer service, compliance, and facility management to ensure the site operates efficiently and meets the needs of the community.
Location: Lynchburg, VA
Compensation: $67,000-$78,000 salary (dependent on education, experience, and licensure level)
Key Responsibilities
Referrals
- Manage referrals efficiently and clinically appropriately.
- Track and respond to all referrals, maintaining communication with assessors, referral sources, and clients.
- Ensure referral dispositions are updated in the Intake Program.
- Coordinate structured staffing meetings to address referrals effectively.
Productivity
- Conduct interviews for nonexempt staff and act as the hiring manager in Care Hub, with weekly reviews for position approvals.
- Oversee case assignments to ensure staff maintain appropriate caseloads.
- Monitor and track authorizations to ensure timely completions.
- Partner with the Director to manage productivity metrics for exempt staff.
- Boost morale by organizing staff appreciation events and recognition activities.
Customer Service
- Monitor the quality of services provided, including response times, intake submissions, and CNA/auth requests.
- Build and maintain relationships with community stakeholders.
- Address grievances and ensure service recovery processes are followed.
Quality and Compliance
- Ensure adherence to regulatory demands and quality metrics.
- Conduct weekly documentation reviews and coordinate corrective actions for audit findings.
- Address compliance issues highlighted in Business Operations reports.
Facility Management
- Ensure the building and grounds are clean, well-kept, and safe for staff and clients.
- Meet monthly with the Office Manager to review facility maintenance plans.
- Communicate emergency preparedness plans and conduct fire drills as needed.
Additional Responsibilities
- Participate in leadership development training.
- Provide coverage for Clinical Supervisors as needed.
- Support external audit responses and licensing activities.
- Deliver direct care to individuals receiving services as directed.
- Manage physical space and facilities-related matters.
- Respond promptly to all communication (email, voicemail).
Qualifications
- Strong organizational and leadership skills with a focus on team-building and operational efficiency.
- Ability to manage multiple priorities and work collaboratively with internal and external stakeholders.
- Experience in behavioral health services and site operations preferred.
- Licensed or Licensed Eligible (Virginia) required.
