We are seeking a highly organized, adaptable, and detail-oriented Office Coordinator with a proven track record of delivery exceptional customer service. The ideal candidate will excel in handling administrative tasks, maintaining meticulous records and fostering a professional and welcoming environment for both guests and employees.
Responsibilities:
- Oversee the front desk operations of a corporate office, managing the entry and exit of staff, visitors, and deliveries.
- Greet and assist visitors and announce their arrival to the appropriate parties.
- Assist with coordinating vendor and building services for maintenance, service repairs and cleaning requests as needed.
- Assist with issuing and managing ID cards, ensuring access is granted or revoked as needed.
- Manage inventory for office supplies, including for in person and remote employees.
- Responsible for logging visitor information in the building visitor management system
- Manage conference room scheduling and bookings as needed.
- Provide support for Facilities tasks as needed.
- Support HR processes such as onboarding and offboarding of employees
- Monitor and review CCTV footage as required.
- Maintain a clean and organized office environment.
- Provide support with event planning as needed.
- Complete special projects and requests assigned by manager or Senior Leadership Team
Education/Experience:
- High School Diploma or equivalent required. Bachelor's degree (BBA, BA or equivalent) preferred.
- 2 years of experience in office coordination or equivalent
Required Skills/Abilities:
- Proficiency in Microsoft 365 (Excel, Word, PowerPoint).
- Excellent verbal and written communication skills with a strong command of English.
- Strong interpersonal skills with the ability and willingness to take initiative.
- Ability to multi-task, prioritize, and adapt in a fast-paced environment.
- Detail-oriented with strong time management and organizational skills.
- Proven ability to handle confidential information with discretion and professionalism.
- Understanding of administrative and financial procedures (documents, invoices, expenses, reports, etc.).
- Ability to work independently and proactively with minimal supervision.
- Ability to assess and respond quickly and effectively to emergency situations.
- Punctual, dependable, and ready to work full-time (40-hour workweeks) with overtime as needed.
- Comfortable using a computer, keyboard, and multiple systems for extended periods.
- Ability to adjust to a fast-paced and evolving work environment.

Compensation Information: Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for each position across the US. Within the range, individual pay is determined by work location, job-related skills, experience, and relevant education or training. This good faith pay range is provided in compliance with NYC law and the laws of other jurisdictions that may require a salary range in job postings. The salary for this position is $45,000 to $54,600 annually. Benefits:
