ABOUT NATIONAL DIZZY & BALANCE CENTER:
National Dizzy & Balance Center (NDBC) is a distinguished outpatient clinic system that employs a multidisciplinary approach, utilizing physicians, audiologists, and physical therapists in each of its Twin Cities clinic locations. Position Overview:
The centralized scheduler, integral to the Administration Department, plays a vital role in patient care by managing phone calls, patient registrations, scheduling, and maintaining patient medical information, processing referrals from providers and maintaining case management. Collaborating with NDBC providers and billing representatives, the centralized scheduler enforces NDBC policies and ensures accuracy, efficiency, and compassion in patient care.
Hours:
- Full-time position (40 hours per week).
- Monday through Thursday 9:00AM – 5:30PM, and Friday from 7:30 am to 4:00 pm.
- Location: Bloomington, MN
- 8 hours of paid leave for holidays, including your birthday
- Overtime, paid time off, and schedule deviations subject to department manager approval.
Typical Physical Demands:
- May involve prolonged sitting, bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity for office equipment operation. Normal hearing and eyesight needed. Occasional lifting of papers or boxes up to 50 pounds.
Performance Standards:
- Articulate NDBC and Administration Department mission/vision.
- Support the values, goals, and objectives of NDBC.
Centralized Scheduling Operations Duties:
- Answer incoming phone calls into the organization for all clinics
- Schedule new/return patients and continued care for patients
- Collecting appropriate patient information (insurance/demographics/problem list) upon scheduling
- Call on new referrals faxed by providers, outside care teams
- Create tracking and case management for continued efforts to schedule patients
- File scans into appropriate patient charts
- File chart records into appropriate patient charts and route to appropriate provider as necessary
- Pull records for any new/return patients and file them appropriately into patient chart for Medical Department team
General Responsibilities:
- Attend meetings and training sessions.
- Maintain confidentiality and adhere to HIPAA guidelines.
- Perform other assigned duties.
Requirements:
- Knowledge of front office, clinical, and business office procedures.
- Attention to detail with efficient follow-through.
- Proficient in operating office equipment and computer systems.
- Maintain confidentiality.
Qualifications:
- High school graduate; some college preferred.
- Two years of medical office experience preferred.
- One year experience using practice management systems preferred.
- Ability to demonstrate independent judgment and initiative.
- Strong communication and problem-solving skills.
- Strong organizational skills with effective prioritization.
- Knowledge of medical terminology preferred.
