Academic Req: Required - Bachelor’s degree in business administration, Human Resources, Emergency Management, Public Health/Administration, or a related field is required. Alternatively, five (5) years of paid experience in emergency management, staffing coordination, or related fields may be considered in lieu of the degree.

Certifications: A current or former firefighting or EMS certification/license is required.

Experience Req: Required - A minimum of three (3) years of experience in staffing coordination, recruitment, or scheduling, ideally within emergency management or a related field. At least three (3) years of supervisory experience, including managing staff and coordinating deployment efforts within a team environment. Former experience as an Emergency Management Coordinator is highly preferred, as are bilingual skills.

Summary: The Reservist Coordinator will play a critical role in managing the deployment cycle of PRN (as-needed) reservists, ensuring the readiness and compliance of personnel for emergency management operations. This position is responsible for overseeing the deployment lifecycle of reservists, coordinating activation and deployment processes, and ensuring that all personnel maintain necessary credentials, qualifications, and compliance requirements.
The Reservist Coordinator will be responsible for maintaining key operational systems, tracking personnel availability, managing documentation, and providing effective communication to staff about their qualifications, training, and deployment status. This role is also responsible for deployment strategy and staffing projections through contract, fiscal, and calendar requirements.
Critical Action Items & Measurable Deliverables:
1. Build and maintain a qualified pool of personnel through active recruitment, community outreach, and engagement. Ensure that new reservists meet the necessary qualifications for disaster response.
2. Oversee the tracking of reservists’ compliance with medical, training, and contractual requirements, ensuring all personnel are prepared for deployment when needed.
3. Manage the complete deployment cycle for reservists, from assignment to activation and eventual demobilization, ensuring the personnel meet the mission requirements and are properly supported.
4. Create and maintain training materials, resources (e.g., handbooks, checklists), and certification processes (Position Task Books) to ensure PRN staff are continuously trained, certified, and prepared for deployments.
5. Generate staffing and compliance reports to meet operational needs and leadership requests, tracking training, availability, and deployment status.
Other Responsibilities:
1. Oversee the Reservist Coordinator Specialist and PRN staff, ensuring effective coordination of staffing and deployment tasks to support disaster operations.
2. Lead communication efforts for deployments, ensuring personnel receive appropriate orientation and necessary training before their assignment.
3. Monitor and maintain real-time tracking of reservist availability, qualifications, and readiness status to ensure efficient deployment when needed.
4. Collaborate with the full-time team to manage after-hours and on-call responsibilities, ensuring that deployment & personnel support is available 24/7.
5. Identify areas for improvement in staffing processes, systems, and tools. Build recommend enhancements to optimize overall efficiency and effectiveness to propose to chain of command for implementation.
6. Maintain accurate and up-to-date records of all personnel, their qualifications, deployments, and related documentation, ensuring that historical data is available for future planning and improvements. Simultaneously ensuring confidentiality and record retention requirements are met.
7. Have full visibility of and working knowledge of all personnel systems including Salesforce, Cornerstone, Galls, Workday and WebEOC.

Requirements:
1. Must be available for on-call duty and may be required to work flexible hours, including nights, weekends, and holidays, to support emergency response and deployment operations.
2. Strong understanding of staffing and coordination needs for emergency response, with the ability to address real-time resource gaps during disasters.
3. Strong verbal and written communication skills, with an ability to effectively interact with both internal teams and external personnel.
4. Proven ability to make quick, informed decisions under pressure, ensuring the efficient allocation of resources and personnel during critical situations.
5. Ability to manage multiple tasks while prioritizing effectively to meet deadlines and handle urgent needs.
6. Practical experience using WebEOC for emergency management operations and Salesforce for managing personnel data, ensuring accurate tracking of availability, compliance, and deployment status.
7. A valid U.S. driver’s license and the ability to pass a comprehensive background check and drug screening, ensuring eligibility for deployment and compliance with safety standards.
